**Job Description**:
The Executive Assistant works hand-in-hand with the Chief Technology Officer (CTO) to help facilitate the day to day functions of Technology leadership roles and provide administrative support.

**Key Responsibilities**:

- Provide direct administrative support to the Chief Technology Officer; support direct reports for any requests by the CTO
- Calendar Management: Maintain calendar by arranging meetings and appointments between external or internal contacts; ensure meeting agendas and materials are received or issued with the appropriate lead times for review
- Arranges travel, hotel, and car reservations and prepare itinerary, both international and domestic to ensure time and cost effectiveness for CTO and direct reports
- Complete expense reports and other related duties for CTO
- Coordinate logistics of meetings, seminars, workshops, and events for the department
- Track and manage follow up on action items from departmental management meetings
- Work collaboratively with EA’s from other departments to ensure executive calendars and meetings are well coordinated
- Review all documents, reports, and correspondence prepared for executive signatures for format, content, grammar, spelling and make edits as necessary for CTO
- Receive, screen, refer and redirect all inbound messages and visitors as required for CTO
- Receive incoming mail, directly issued or forwarded, taking notice of required actions and due dates to ensure timeliness of response and required actions for CTO
- Facilitate communication from department managers, business unit leaders, and project managers for CTO
- Prepare and review presentations for CTO and direct reports as requested
- Support the administrative functions around new employee onboarding
- Support the departmental activities around employee engagement; coordinate engagement champions for quarterly reporting
- Support the Technology department participation in Group Finance meetings and events
- Other duties shall be assigned as required

**Qualifications**:
**Experience, Education and Designations**:

- Post-Secondary Diploma in Business Administration, or relevant discipline, preferred
- 5-7 years' experience in a Senior Administrative role
- Proficient with Microsoft Office Suite (Outlook, Word, Excel, Power Point). Familiarity with SharePoint and Workday is a plus.
- Ability to work in the Adobe Suite preferred.

- Polished, professional approach and the ability to establish and maintain strong interpersonal relationships is necessary
