**position overview**

As the Clinic Coordinator you will be the first point of contact for all visitors and inquiries to our clinic, embodying our commitment to outstanding service. This role requires a friendly and professional demeanour, excellent organizational skills, and the ability to handle various administrative tasks efficiently.

**Key Responsibilities**:

- **Client Interaction**:

- Greet and welcome clients and visitors in a warm, professional manner.
- Manage incoming calls and inquiries, providing information about services, scheduling appointments, and addressing client needs.
- Ensure client forms are signed, photos and profiles are up to date
- Ensure a positive and seamless experience for every client from their first contact to their visit.
- Assist clients with product recommendations and knowledge
- **Administrative Duties**:

- Organize and manage inbound and outbound mail, ensuring timely distribution.
- Maintain accurate records of client appointments, cancellations, and follow-ups using the clinic’s scheduling software.
- Assist with billing and payment processing, ensuring accuracy and confidentiality.
- Upkeep clinic invoices, orders, inventory and support management
- Prepare and maintain clinic supplies, ensuring we are well-organized and stocked at all times

**Qualifications**:

- High school diploma or equivalent; additional relevant education or certification is a plus.
- Previous experience in a front desk or administrative role, preferably in a healthcare or spa setting.
- Strong interpersonal and communication skills, with a polite and professional demeanor.
- Detail-oriented with excellent organizational abilities.
- Proficient with Apple products and familiarity with JaneApp or similar management software
- Previous experience/knowledge of Zo Skin Health product is a plus
- Ability to multitask and work effectively in a fast-paced environment
- A team player who is willing to assist colleagues and contribute to a positive work culture.

This position is a required in-person role, hours ranging from 15-40 hours a week based on role (part-time/full-time).
