Accommodations Coordinator, English Language Program

UWinnipeg's English Language Program (ELP) delivers high quality programming to international and domestic students seeking to enhance their English proficiency. **The Accommodations Coordinator is a full-time continuing** position responsible for assisting ELP students with finding suitable, safe, comfortable, and affordable housing. The incumbent will refer students to appropriate accommodations, carefully place qualifying students in homestay, and manage the day to day operations of the service.
**Responsibilities**:
- Assists students with finding suitable housing by providing referrals and supporting students to access resources.
- Maintains up to date information on accommodation options and costs.
- Places all qualified homestay students with host families in a timely matter.
- Matches homestay students host families based on needs of both parties, considering preferences, allergies, dietary restrictions, etc
- Creates and distributes all homestay documents/correspondence after the student has been matched to a family. Stays in close communication with both parties until the students’ departure from Winnipeg.
- Responsible for collecting, analysing, and responding to student feedback, documents all student problems and follows up on all complaints.
- Creates all payments for host families and submits for processing.
- Meets regularly with the Student Life Coordinator to discuss homestay related issues and plan changes to the program.
- Assesses whether discontinuance of homestay is appropriate (for both family and student) and communicates this decision (Student Life Coordinator assists as needed).
- Organizes and regularly facilitates Homestay Orientation and training sessions for host families. Collects homestay evaluations to assess their eligibility for the program.
- Acts as first point of contact for all homestay related issues, works with host families and students to resolve problems.
- Responsible for Student Life Emergency phone (24 hours/7 days) on a rotating basis. Makes decisions regarding student safety and responds to concerns when call received. Deals with situations requiring immediate attention to ensure that appropriate intervention and/or referral occurs. Consults with Student Life Coordinator and ELP Director, in crisis situations.
- Counsels students and refers those with more serious problems to resources best equipped to address their problems.
- Provides mediation to the host family and student on issues such as; behavioural concerns, cultural shock and adjustment related issues, homesickness, eating disorders, personal crisis, disobeying homestay rules, theft, health concerns, and other conflicts as they arise. Consults with Student Life Coordinator for major conflicts or student issues.
- Delivers homestay orientation to new students and communicates expectations and guidelines for the homestay program.
- Arranges emergency accommodations for students, as required.
- Arranges new homestay placements for students moving out of their original homestay as a result of an unresolved conflict.
- Maintains homestay database as well as computerized records and files.
- Performs home inspections as needed to assess suitability of host homes.
- Acts as a liaison with other University departments and the public by developing and maintaining positive and healthy working relationships.
- Works cooperatively on projects and orientations.
**Qualifications**:
- Post-secondary education or completion of a formal training program in a related discipline from a recognized institution.
- Training in Counselling, Conflict resolution/Mediation, interviewing skills and Crisis intervention.
- One year of directly related experience.
- Experience working in a cross-cultural environment where conflict resolution was required.
- Experience working with post-secondary students in a service capacity preferred.
- Excellent interpersonal, negotiating, and conflict-resolution skills to deal effectively with a wide variety of situations, especially in a cross-cultural environment.
- Ability to work to deadlines and under moderate/high pressure.
- Ability to work in an unsupervised environment, and to work effectively in team-based projects.
- Ability to communicate in a second language considered an asset (Spanish, Mandarin, Cantonese, Japanese, or Korean preferred)
- Ability to communicate and work effectively with culturally diverse post-secondary students, community members, and various university departments.
- Ability to complete work with accuracy and attention to detail, to organize and prioritize routine secretarial/clerical functions
- Ability to treat personal information in a confidential manner.
- Ability to set work priorities in the midst of multiple demands.
- Ability to work in an environment of regular interruption.
