**ADMINISTRATIVE ASSISTANT**
**THE OPPORTUNITY**
As a local representative of Gulf Pacific, based out of our head office in North Vancouver, the incumbent is expected to conduct themselves appropriately and present themselves professionally. All tasks must be completed with mínimal supervision, maintaining a high level of communication with the supervisor to ensure they are kept informed of any significant needs and requirements of the business.
**THE ROLE**
As the Administrative Assistant, you will assist the team to perform the following:
- Support our Property Management, Leasing, Administrative, and Executive teams.
- Liase between site staff and remote office staff.
- Maintain our property management database, ensure accurate and up-to-date information.
- Assist in monitoring and maintaining accounts, invoicing, and handling minor accounting tasks as required.
- Prepare payment schedule, renewal, rent increase and late rent notices.
- Allocation and coding of accounts payable.
- Ensure each tenant has a current insurance certificate and copy head office.
- Maintain master digital files on a daily and weekly basis, ensuring data is organized and accessible.
- Maintain emergency procedure manual, emergency contact list, tenant contact list, and financial contact list.
- Initiate and coordinate Tenant Appreciation and promotional events, fundraisers, life safety seminars, fire drills, newsletters, etc.
**THE QUALIFICATIONS**
The Administrative Assistant has:
- Minimum 1 year of experience working in reception and/or an office environment.
- Strong written and verbal communication skills, with a keen eye for accuracy and strong attention to detail.
- Strong organizational skills and the ability to manage task efficiently.
- Outstanding interpersonal and conflict resolutions skills, with an ability to collaborate effectively across all internal teams.
- Self-motivation and a collaborative team player with a proactive approach.
- Capacity to work well under pressure while managing multiple deadlines and priorities.
- Ability to handle stressful situations intuitively and efficiently.
- Ability to work autonomously and with mínimal supervision.
- High degree of professionalism and passion for success.
- Consistent follow-thru and follow-up skills.
