**Position Summary**
The Head Office Administrator A/R is responsible for maintaining, organizing, and keeping up to date records of Koch Fuel Products Accounts Receivables while communicating with customers to keep accounts receivables at a minimum.
The Head office Administrator A/R must have strong time management skills to ensure all daily responsibilities are completed. They must have high attention to detail as they are responsible for the completion of many administrative duties. Strong problem-solving skills to assist outlying sites with their day-to-day operations in administration.
**Duties and Responsibilities**
Under the supervision of the Controller, the duties and responsibilities of the Head Office Administrator A/R include, but are not limited to, the following:
- Answer general/admin phone inquiries, relay calls to the appropriate person, and return phone calls in a timely, professional, and courteous manner
- Welcomes visitors by greeting them, in person or on the telephone, answering or referring inquiries
- Maintain customers that require pre-approved weekly or monthly credit card payments
- Daily enter in online payments and cheques to customer accounts
- Necessary tracking and reporting of accounts receivable in a timely manner
- Maintain appropriate levels of involvement in customer issues requiring resolution
- Work together with the administrative team of Koch Fuel Products to ensure all paperwork is being completed and filed in a timely manner so everyone can complete their work
- Assist in general administrative tasks when required to keep the business flow of Koch Fuel operating efficiently and effectively. Ex. Internet issues, security system, mail
- Maintain an organized office space and filing system to allow other administrators to fill in when required
**Schedule**
- Work from 8:00 am - 2:00 pm
- Take a 30 min
- 1 hour lunch break
**Minimum Requirements**
- High School Diploma: Accounting Courses or Diploma is an asset
- Able to communicate effectively (both written and verbal)
- Strong problem-solving skills
- Accountable and dependable
- Proficient in using a computer, including Microsoft Office (Word, Excel, Outlook)
- Exceptional attention to detail and quality of work
- Good organizational, time management and prioritizing skills
- Able to demonstrate a positive attitude and strong work ethic
- Able to handle multiple priorities and tasks
- Experience with customer service preferred
**Working Conditions**
- Work in a busy, open office area with constant interruptions
- Able to work on a computer for long periods of time
- Able to comfortably answer phones and give consistent customer service
- May spend long hours in intense concentration which requires attention to detail and high levels of accuracy
- Required to meet a number of deadlines which may cause stress
Pay: $18.00-$20.00 per hour
