**Position Summary**

Reporting to the Project Manager, the Operations Administrator, will be responsible for the administrative duties and coordination activities for our oilsands and related operations in NE Alberta. Including ensuring all field level Accounts Receivable, Accounts Payable, Payroll, Scheduling, Maintenance Records and Safety information for the operational area is accurately captured and submitted for final processing in accordance with established company procedures. They will also be the primary liaison to the Administration/Finance Department, for the operational area.
- This position is fulltime and is based out of our Leduc, AB location._

**Time Commitment**

The positions’ primary hours are Monday to Friday from 8:00am to 5:00pm. During the busy season, you may be required from time to time to work outside these hours, as the need arises. Schedule may be altered at the discretion of management.

**Summary of Duties (Duties may include, but are not limited to the following)**:

- Provide administrative support to the Project Manager, and staff of the operational area.
- Schedule and coordinate travel and accommodations for the remote operational area staff.
- Manage and coordinate safety items and access badges for team, as per customer requirements.
- Coordinate operational staff onboarding orientations when necessary.
- Generate all rental and transportation tickets in the company ERP system for the operational area, ensuring the accuracy of the rental days and billing details.
- Manage field ticket workflow, by gathering customer authorizations and processing tickets, work orders and associated documents as required.
- Daily coding & entering of employee timesheets into the payroll database.
- Generating purchase orders and receiving slips for purchase invoices in support of the operational area.
- Ensuring chargebacks are correctly entered into accounting database and charged back correctly on the tickets for the operational area.
- Manage and track rental equipment inventory for operational area.
- Enter maintenance records for the equipment inventory for the operational area.
- Run and complete required reports.
- Liaison between the operational area and head office (A/P, A/R, Payroll, HR, and Safety)
- Provide additional support when required and as directed by Project Manager.

**Required Competencies**
- Strong organizational and time management skills
- Excellent communication and numeracy skills
- Proficient in Microsoft Office, exceptional Word and Excel skills
- Strong interpersonal skills
- Ability to organize and coordinate administrative tasks
- The desire and ability to work as part of a team, or independently with little supervision when dealing with routine matters.

**Qualifications**
- High school diploma or equivalent
- 2+ years previous administrative experience
