'Office Manager Citadel Physiotherapy

Full time position

Salary Range $45,000 - $55,000 annually

What you will be doing?

Reporting to the Clinic Owner, you will:

- Provide administrative leadership and functional guidance for Citadel Physiotherapy Front Desk Administrators and be part of Citadel Physiotherapy Management team.
- Ensure the daily activities of the Citadel Physiotherapy are organized and supported efficiently. This involves constant communication with the Management Team to ensure the Clinic is properly staffed and functions efficiently and safely.
- Provide confidential support on all Human Resources matters for the Citadel Physiotherapy; taking lead in hiring process of front desk staff and assisting Clinic Management in hiring of other positions as needed.
- Provide confidential administrative support on all Human Resources matters for the Management team; and track and maintain the clinic staff files.
- Monitor daily accounts receivable and billings to ensure accuracy and timely submission of third-party billings and inputting of payments.
- Assist with payroll by monitoring administrative hours and daily professional therapist's payroll numbers.
- Play a leadership and collaborative role with the management team to improve clinic communications, maximize technology and build consistency of practice across clinics.
- Demonstrate independence and initiative in anticipating needs, while balancing multiple and competing priorities.

Qualifications and Experience

Minimum Experience
- The minimum educational qualification for this position is a post-secondary education in business or office administration.
- You have a minimum of two (2) years (full-time equivalent) of progressive experience at senior administrative levels in a fast-paced office environment.
- Demonstrated experience with Accounts Receivable and payable management.
- Experience in Human Resources management of processes, policies, and procedures.
- Excellent computer skills with a high level of proficiency in Microsoft365 and Outlook.
- Experience using Practice Management Software such as Jane Software would be a benefit.
