Reporting to the Corporate Controller with a dotted line to the Fleet Manager, the Fleet Administrator II is a key part of the administrative team and provides a variety of support functions to overall fleet management.

**Administrative**
- Record and manage driver documents, records, and information
- Record and manage vehicle documents, including preparing, tracking, registering vehicle setups and unit number changes, vehicle removals, registration, and Mechanical Inspections
- Record and manage plate transfers documents, records, and information. Sending required documents to City of Edmonton and ensuring all data bases, spreadsheet, and files re updated and accurate
- Ensuring all vehicle, driver and plate databases, spreadsheets and files are updated and accurate
- Ensure timely and accurate billing and/or adjustments for company vehicles.
- Backup for Fleet Administrator I, including managing the information/reception counter for drivers, coordinating courier deliveries & mail and maintain information boards, signup sheets and posted information for drivers

**Operations**
- Develop rapport with Owner Operators and Drivers
- Monitor and evaluate vehicle maintenance of company owned equipment, including service and repair functions to identify needs and determine financial effectiveness and operational efficiency
- Preparing and submitting various reports and statements for internal review and distribution
- Providing administrative support including generation of reports, presentations, policies, and general correspondence documents
- Providing administrative and accounting support to the fleet
- Coordination with other departments to ensure driver and fleet paperwork is maintained Assist in the planning and execution of semi-annual meter checks

**Development**
- Assist with development of fleet administration standards and vehicle operations - Refine and maintain a reporting system that analyzes rental revenue and ensures credits are being applied as per the company’s guidelines
- Develop a process for monitoring the condition of Owner Operators’ vehicles to ensure they are maintaining a safe and reliable vehicle
- Assist in maintaining monthly dashboards
- Develop a process for monitoring Owner Operator’s personal appearance to ensure they are representing the company’s brand as outlined in the company policies
- Assist in overseeing drivers and equipment operating under various contracts (ie: EIA Driver Operations)
- Additional tasks are required

**Education and Qualifications**:

- Related post secondary education preferred
- 3+ years previous experience administration role in a fast paced, high volume environment
- 1+ years’ experience working with and managing multiple databases in an accounting environment
- Above average proficiency with the Microsoft Excel
- Previous fleet and/or industry experience an asset
