**Position Description**:
A regular part-time position exists for a Transportation Coordinator to work with volunteers, drivers and clients in Home Support Services at the Waterloo Memorial Recreation Complex Community Pavilion. This role oversees the daily operation of transportation services and scheduling to ensure older adults requiring support can aattend scheduled appointments on a regular basis. The incumbent will report to the Supervisor of Community Support Services.

**Accountabilities**:

- Coordinate, plan, and organize transportation services by scheduling drivers and volunteers to meet ride requests submitted by clients
- Contact volunteers and drivers to obtain weekly availability, schedule accordingly to meet client ride requests, and communicate the confirmed schedule and any updates or changes
- Ensures rides are scheduled in a suitable manner to the respective client while being mindful of efficiency, best use of resources, and guidelines
- Input client data, ride requests, volunteer and driver availability, and driving schedules into AlayaCare software
- Communicate changes to volunteers and drivers in a time efficient manner and ensure any additional updates are made to maintain the schedule
- Daily troubleshooting as required (i.e. vehicle issues, schedule changes, driver absenteeism)
- Identify transportation program efficiencies and maintain optimum use of resources
- Assist with program record keeping, including statistical data
- Work as a member of the Home Support Services team
- Recruit and onboard volunteers and drivers and facilitate driver orientation and training
- Provide guidance and instruction to volunteers and drivers to carry out required driving tasks
- Organize and facilitate bi-annual driver meetings
- Coordinate the scheduling of maintenance and required documentation of two fleet vehicles, stocking appropriate supplies as needed
- Make transportation related purchases and reconcile transactions on procurement card
- Ensure operation is within Health and Safety guidelines established by Region, and City of Waterloo Health and Safety procedures and practices
- Act as back-up driver in the event of driver or volunteer absence or shortage
- Provide administrative support as required, such as taking meeting minutes
- Other duties as required

**Minimum Qualifications**:

- High school diploma required, post-secondary education in Volunteer Management, Social Services, Business or a related field preferred
- Two (2) years of related work experience is required
- Exceptional organizational skills and a high level of attention to detail
- Experience overseeing volunteers would be an asset
- Have an understanding of the older adult population, the aging process, and varying levels of physical and cognitive needs
- Office administration experience in a diverse, client-focused setting
- Proficiency in MS Office (Word, Excel)
- Thorough knowledge of Kitchener and Waterloo
- Communication skills to respond professionally to demands with tact while maintaining the integrity of others
- Good interpersonal skills to effectively interact with clients, partners, and team members
- Able to multi-task in a fast paced environment
- Able to work as part of a creative, problem solving team
- Knowledge of Volunteer Better Impact and AlayaCare software is considered an asset
- Standard First Aid Certificate with CPR C and AED (or willingness to obtain)
- Valid MTO ‘G’ class driver’s licence in good standing with driver’s abstract acceptable to the City is required to perform the job
- A satisfactory Vulnerable Sector Check is a requirement for this position’
- **Hours of Work**: This position will work Monday to Friday from 8:30 am - 2:30 pm with a 30 minute unpaid lunch. Some fliexiblity may be required.
