**Facilities Administrator**

Our Facilities Team is currently growing We’re seeking a Facilities Administrator - someone who will partner with the business to understand their needs and manage the on-going maintenance of our space, working towards a positive employee experience while in the workplace.

At Investment Planning Counsel we’ve designed every aspect of the Facilities Administrator role with you in mind.

**What is the role of the Facilities Administrator?**
- Support certain on-boarding employee requests
- Respond in a timely manner to employee inquiries to fulfill requests within outlined SLA’s
- Standard Operating process, quarterly review and updates
- Working with your leader to schedule maintenance work and employee requests received through UVC
- Submit required ticketing through the tenant Online Portal.
- Perform frequent site inspections to ensure safe and pristine facilities, as well as to identify any areas of concern that should be repaired. Notify leader of repairs and inform applicable vendors
- Working closely with our internal stakeholder partners to ensure employees have a positive experience using workplace amenities (e.g., ensuring board rooms are clean and have all required amenities for use).
- Provide in the moment support (e.g., settling into new space on day 1, how to use a new chair, how to navigate a new office space, etc.).
- On the ground service to employees to assist with minor requests such as: locked out of locker, lost keys, pass card etc.
- Involvement during fire drills with Workplace Health & Safety Committees
- Manage all vendor scheduling such as Brew centre, carpet cleaning, patio setup, Stericycle etc.
- Manage all orders for head office needs
- Manage kitchens and other public office space with required amenities.
- Maintain good landlord relationship to support building maintenance and tenant health & safety.
- Raise any vendor performance issues.
- May require weekend and after hours work during weekend scheduled vendor activities.
- Sort incoming mail, courier and faxes and ensure delivery to the proper persons and/or departments and/or representatives.
- Return mail handling, stats, reporting requests, and updates within Univeris
- Provide support with indexing and imaging and may require overtime and occasional weekends.

**What traits and competencies should a **Facilities Administrator** possess?**
- Client service orientation skills, acknowledging and responding to internal/external client needs and perspectives
- Accountability skills, results oriented individual who takes ownership and delivers on commitments
- Ability to clearly communicate in a concise and tactful manner. Active objective listener with open and consistent communication
- Team player, works collaboratively with others to achieve common goals while adding value to the team
- Critical thinking skills, holds the ability to organize and prioritize multiple tasks under tight deadlines

**What are the preferred qualifications for a **Facilities Administrator**?**
- Minimum 2 years of administrative and operational experience preferably in the Financial Services industry
- Post-secondary education in a business discipline
- Strong business and technical skills
- Proficiency in PC capabilities including the Microsoft Office Suite. Experience with ITSM tools such as Remedy or ServiceNow is preferred
