**OFFICE CLERK - TERM PART TIME - EXTENDICARE YORK**

**REPORTING TO**: Office Manager**SUMMARY OF DUTIES**:
- The Office Clerk is responsible undertakes/completes many clerical functions such as but not limited to: filing, accepting deposits, responds to phone and visitor inquiries, prepares documents such as letters, minutes, data entry and spreadsheets and supports the Leadership Team.**QUALIFICATIONS**:
- Ability to read and write English as well as to understand verbal and written instructions in English.
- Grade XII high school diploma; post secondary education in business administration, finance, accounting an asset. Or significant experience in working within an office environment completing similar tasks/responsibilities.
- Strong working knowledge of administrative based software (Microsoft Word, Excel)
- Mentally and physically able to perform duties within a very dynamic environment with the opportunity for several disruptions and maintain regular work.
- Demonstrated ability to work independently and complete assignments on a timely basis.
- Demonstrates concern and interest in providing high quality care and service for those we serve.
- Strong communication and relationship building skills with team members.

**DUTIES AND RESPONSIBILITIES**:
- Performs clerical duties: word processing, typing, photocopying, and faxing services to the facility including minutes of meetings, reports, letters, etc.
- Performs computer services, including computer data lists, posters, calendars, etc., on a weekly basis.
- Performs Accounts Payable duties including recording vendor codes, extending costs on the invoices, reconciling invoices with vendor statements, according to Extendicare Accounting Systems Manuals; photocopy all invoices, files, as required.
- Performs reception duties, including greeting and assisting residents, staff and visitors.
- Answers telephone calls and refers calls and messages as appropriate.
- Receives payments for Accounts Receivable and for resident trust accounts.
- Performs all duties in accordance with the written policies and procedures of Extendicare, the facility and the Business Office.
- Performs all duties in a safe and efficient manner, and maintains work area in a clean, orderly and safe condition.
- Reports unsafe and hazardous working conditions and any equipment malfunctions to the supervisor which includes following manufactures’ instructions in the operation and use of all office equipment
- Knowledgeable of facility procedures for the fire evacuation, smoking policy, and environment safety.
- Performs duties in accordance with prescribed sanitation and infection control procedures.
- Respects residents’ rights to dignity and privacy and performs duties in a courteous and respectful manner.
- Adheres to “Standards of Employee Conduct”, “Commitment to Residents”, “Resident’s Bill of Rights” and “Extendicare Quality Care Standards”, Manitoba Health Standards and Extendicare’s Mission, Vision and Values.
- Works closely and cooperates with other staff and residents. Maintains good working relationships with other departments.
- Participates in committees, meetings, as required.
- Responsible for the development and upgrading of his/her knowledge and skills. Attends inservice sessions and conferences as required.
- Performs other related duties as assigned.
