The Guest Services Manager is responsible for the effective development and operation of the Front Office in conjunction with overall company goals. Active participation in training, scheduling and overall performance of the employees and ensuring that we offer the best service to our customers. Position directs and works with managers and employees to carry out procedures ensuring an efficient check in and check out process and that all Brand Standards are met. Ensures guest and employee satisfaction and maximizes the financial performance of the department. Front office areas include Guest Services/Front Desk, Reservation Agent, Bell Staff and Pool and Waterslide.

**Duties and Responsibilites**:

- Set up and organize the procedures to be followed by the Front Desk Agents, Bell Staff and Night Auditors concerning the proper procedures to be used in operating the Front Office. Learning the computer equipment and teaching the employees so they fully understand what is required.
- Train and ensure that the Front Office employees offer the finest service available to our guests.
- On an ongoing basis, review all policies and procedures used in the Front Office Department to ensure they remain up to date and efficient. Polices should be reviewed regularly with the senior management on a quarterly basis.
- Review and keep abreast of the other business that is at the other downtown hotels in Regina. Occupancies and room rates are vital information to ensure that we are keeping in touch with the market place. Our Director of Sales & Marketing will gather statistics regularly, however it will be beneficial to be informed in your position of the activity in the city.
- During the year and on a daily basis, should be reviewing daily actual results to budget and overall performance. This will help ensure that the budget for the next year will be improved upon. The goals established must be achieved.
- Upselling is very important at the Front Office. Upselling should be explained and taught to all employees upon commencement of employment.
- All Delta Hotels programs should be made available to our guests. The programs that are applicable at this Hotel should be mastered and each employee working at the Front Office should be fully aware of how they work and know how to explain them to the guest.
- Learning how the point of sale (POS) equipment works in the food and beverage outlets is necessary and being familiar with its capabilities is a must.
- Understanding how the Reservation Department works will be required. All Front Desk Guest Service Agents should also have a clear understanding of its purpose and how it functions.
- Understands the general operations of each department within the hotel and their relationships to one another. Provides coverage and assistance when needed.
- Assists the Front Desk with shift coverage, including check ins, check outs and night audit duties.
- Scheduling of all front office areas, including Guest Services/Front Desk, Reservation Agent, Bell Staff and Pool and Waterslide.
- Fulfills Manager on Duty Shifts and Lobby Duty Shift when required
- Acts as hotel liaison as lobby ambassador during peak business times
- Knowledgeable of daily events and functions, group arrival and departures and in house groups.
- Assists in the development of business plans and/or new programs designed to achieve guest satisfaction and financial goals.
- Resolves employee or guest issues in a positive manner and follows up to ensure satisfaction. Responds to guest concerns and reviews in a professional manner and ensure resolution within Brand Standards.
- Makes recommendations and gives information to guests. Provides them with accurate directions.
- Able to instruct, direct and take control in emergency situations.
- Provides a professional image at all times through appearance and dress.
- Follows company policies and procedures and is able to effectively communicate them.
- Participates in the recruiting efforts of the hotel through screening applicants and team interviews.
- Ensures hotel is in compliance with all federal, provincial and local laws, including Health and Safety, ESA and Human Rights.

The exciting challenges of this position will see duties in addition as may be directed by the Rooms Division Manager and General Manager.

**Qualifications and Skills**:
High School diploma or equivalent and two years’ experience in a hospitality related job. Special consideration will be given to those who exhibit exemplary performance. Must have strong computer skills and knowledge. Opera experience is an asset.

**Hours of Works**:
Must be available throughout all hours of the day. Will be required to work nights, weekends and holidays. Will be required to work during peak check in and check out times. Will be required to work in fast paced, stressful environment. May be required to be on call when away from work.
