**Position Overview**

The Libin Cardiovascular Institute is an entity of Alberta Health Services and the University of Calgary with more than 1750 research and clinician members. It coordinates cardiovascular science research, education and patient care across both AHS and UCalgary, serving a population of 2 million people in Southern Alberta, Saskatchewan and Eastern British Columbia. The Operations Coordinator will work with the Libin research group within the Libin Institute and will receive directions from the Operations Manager of the Institute.

Reporting to the Operations Manager, Libin Cardiovascular Institute, the Operations Coordinator will support research, education and operational activities across the Institute. It is anticipated that the Operations Coordinator will be involved in several projects at any given time. Specifically, this position will provide dedicated support to coordinating Libin events, and the education and research committees.

The position requires discretionary decision-making, professionalism, comfort interacting with our collaborators including healthcare stakeholders and healthcare providers, and has the potential to affect the integrity and success of the Libin Institute.

**Position Description**

**Summary of Key Responsibilities** (job functions include but are not limited to):

- Develop, coordinate, and carry out multiple research support tasks with various internal and external stakeholders including event and workshop support and coordination, administrative support including but not limited to coordinating meetings, liaising with research project participants, keeping track of project timelines and budgets, and writing impact reports
- Support coordination of research activities in consultation with the principal investigator(s) and project research associates, including coordinating meetings, workshops, and communication between researchers and research participants
- Along with research members, aid in developing and implementing the strategic vision of the research project(s) and research group, including developing and maintaining project timelines, and developing and running events and meetings
- Maintain administrative support of the education and research committees via regularly meeting with the Libin Cardiovascular Institute's Education Director and Deputy Director
- Coordinate and lead for annual Libin Cardiovascular Research Day
- Administer process development, maintenance and implementation as required for internal scholarship and award disbursement
- Administer award payments and maintain responsibility for collection of documentation ensuring it is well organized and readily available for retrieval
- Liaise with the Graduate Studies Offices for scholarship management and tracking
- Coordinates and manages logistics for institute meetings (including Libin Strategic Advisory Board Meetings) and seminars which may require room bookings, menu selection, preparing agendas, taking and transcribing minutes, preparing and distributing notices, and processing reimbursements for members
- Provide quality service and advice, contribute to the creation of a supportive team, and identify ways to improve services to Libin members

**Qualifications / Requirements**:

- Post-secondary education, combined with 3-5 years of progressive experience, preferably in a health-related environment, is required
- Working knowledge of PeopleSoft and eFin would be considered an asset
- Superior organizational skills with the ability to set priorities and meet objectives is required
- Strong written and verbal communication skills and with a very high degree of accuracy and attention to detail is required
- Proven ability to work independently, multi-task, and manage conflicting priorities and demands is required
- Experience working within a complex multi-disciplinary setting
- Experience maintaining confidentiality with highly sensitive information is critical
- Knowledge and/or experience with cardiovascular health an asset
- Ability to receive direction, collaborate with others in setting goals, and work effectively in a team environment to achieve agreed upon goals
- Experience with UCalgary and CSM policies, procedures, and systems (or other large public institutions) is an asset
- Ability to demonstrate tact and courtesy dealing with patients, staff and physicians
