**Job Title: HAMSMaRT Clinic Administrator**

**Who we are**: The Hamilton Social Medicine Response Team (HAMSMaRT) is an organization of health providers and community mobilizers working to integrate clinical practice, critical analysis, and socially relevant action. We are an interdisciplinary outreach team providing community centred care to people for whom conventional health service models present too many barriers to access. We believe that as health care providers we must recognize and take responsibility for our own historical and contemporary roles in systems of oppression. We work to advance the idea and practice that health is inherently political and health care providers must play a role in bringing about change in the social and material conditions which determine health.

**Commitment and Remuneration**: This is a 0.8 FTE position, or 32 hours per week, with an annual salary of $55,059.84 plus health benefits. Contract length is 1 year, starting immediately with potential to extend position contingent on funding. There also may be the opportunity for the position to increase to 1.0 or 40 hours per week, pending funding as of April 1st. This will be an in person position Monday-Thursday, with a commitment to evening work every Tuesday to cover the clinic for women and gender non-conforming patients.

**Main Responsibilities**:

- Championing our guiding principles of Centreing the Social Determination of Health, Community Centred Care, Reciprocal Learning, Harm Reduction, and Building the Community We Want to Live In
- Patient experience:

- Managing patient flow in person on clinic days, checking patients in, responding to questions, booking follow up appointments
- Answering the clinic phone during defined office hours
- Booking appointments and sending reminders to patients
- When required arranging video appointments using Zoom Healthcare system
- Maintaining a list of patients without valid health cards, and working to support them to obtain a valid health card if they are eligible for one
- Office communication and records:

- Coordinating and troubleshooting the office communication system, Talkroute
- Sending and requesting patient records to/from other healthcare providers
- Coordinating and troubleshooting the electronic medical record (EMR) system, OSCAR
- Monitoring EMR inbox and assigning items to correct provider and patient
- Managing patient referrals - locating and sending to correct consultant, following up on appointment time
- Monitoring and sending faxes
- Locating lab work, test results etc if they are not received by office
- Scanning paper documents into patient charts
- Scheduling and hosting weekly zoom meetings for clinic staff
- Office management
- Liaising with our landlord, as well as any maintenance companies we may need to work with for the upkeep of our space
- Liaising with the cleaners and other staff to keep the space clean
- Ordering office supplies as needed
- Ordering clinic supplies in collaboration with clinical team
- Coordinating the weekly schedule of staff to keep the space open
- Coordinating the organization of clothing and other non monetary material donations as they come in
- Ensuring smooth function of staff administration (including staff phones, business cards, petty cash / gift cards, etc.)
- As an organization still in our early stages, the person in this position will be invited to be part of our broader organizational development work, and will also be invited to join committees that engage in some our more community oriented work

**Required Qualifications and Skills**:

- Excellent organizational and time management skills
- Excellent oral and written communication skills
- Comfortable learning how to navigate in electronic medical record
- Excellent skills working with people, especially people who are deprived of housing and people who use drugs
- A commitment to harm reduction

**Preferred Qualifications and Skills**:

- 1 year of medical administration experience

**Salary**: $55,059.84 per year
