Are you known for your excellent organizational skills, exceptional rigor and collaborative spirit? The Transformation Management Office (TMO) is looking for a Project Administrator to support its Organizational Transformation Management team.
Responsible for organizing, coordinating, and overseeing the regular and ongoing operation of the TMO's administrative services, you will evolve in a dynamic work environment and contribute to the sound management of the department while helping to ensure the success of strategic projects.
Reporting to the Vice-President, Transformation, and Real Estate, the Project administrator is essential in providing administrative input and project management support to the Transformation Office. By working closely with the various members of the team and the organization, you will contribute to creating an organized and efficient work environment.
**What you will accomplish with us**:
- Participate in the smooth running of the department;
- Gather and present information relating to the area of responsibility and recommend procedural changes to improve the department's efficient operation;
- Collaborate with team members to establish and carry out work priorities;
- Act as a resource person for all incoming requests and direct these requests to the appropriate people Manage and ensure the updating of collaborative tools (Teams, OneNote, SharePoint, etc.) for the Transformation Office (TMO) and Project Management Office (PMO) by providing first-level technical support for team members;
- Ensure document management, by drafting, revising and formatting various internal and external documents and presentations, and ensuring translation as needed Organize TMO, PMO and Integration Management Office (IMO) meetings and committees, prepare agendas, take notes during meetings, draft minutes and prepare follow-ups with team members;
- Participate in project planning and follow-up;
- Ensure compliance with budgets and deadlines, maintain quality standards Participate in various related administrative tasks linked to projects Maintain a dashboard of our various performance indicators;
- Take charge of the organization and logistics of various events Support the welcoming and integration of new team members Assist the TMO, PMO and IMO in various related tasks.
**What You Bring to Our Team**:
Excellent planning and priority management skills, and ability to meet tight deadlines;
Good knowledge of project management methodology, scheduling and budgeting;
Excellent command of French and English, both oral and written;
Ability to draft and revise documents;
Excellent command and understanding of the MS Office suite, knowledge of MS Project an asset; Strong interpersonal skills, team player, able to collaborate effectively, versatile and autonomous Sense of ethics, professionalism and discretion Autonomy, flexibility and ability to work in a dynamic environment Commitment to excellence
