**Position Summary**

An exciting opportunity exists in our Metals Division in Fort Saskatchewan plant site for an **Administrator, Maintenance.**

The purpose of this position is to perform a wide variety of administrative, office, and support activities for the Maintenance Services group in order to maximize craft tool time and supervisor field involvement. This position will serve as a primary point of administrative contact for internal personnel and participates in the coordination and completion of ongoing projects and/or events.

**Accountabilities**
- Process the hourly and contractor time cards and requests on an ongoing basis.
- Generate reports at month end (budget, exposure hours, vacation, INI, head count, etc.).
- Print, maintain, and update all related documentation and torque calibration records.
- Manage offsite vendors to order and arrange office and building supplies (signs, furniture, coffee, etc.)
- Sets up office space for new staff and assists with office relocations and reconfigurations.
- Assist with the update and monitoring of audit controls for Maintenance Services safety.
- Manage coverall program for all Maintenance Services personnel through direct supplier communication to arrange for initial issue, repair and replacement.
- SharePoint site management:

- Lead and manage the development and maintenance of the Maintenance Services local SharePoint intranet site. This includes document control, ongoing document review and periodic file refresh to ensure files are compliant with updated standards.
- Coordinate the document management of Maintenance Services policies and procedures, codes of practice, forms, technical manuals, reports, training KPIs, and department headcount into the site’s document library.
- Manage working documents in the appropriate libraries where required, confirming formatting of final documents, posting final documents into the approved library for public viewing.
- Cross functional support to other Maintenance functions to include, contract management and procedures.
- Organize meetings, administer distribution lists, record minutes, and maintain action item lists.
- Lead the organization of department events, celebrations and milestone presentation awards
- Ensure department supplies, including IT equipment, are adequately organized, ordered and delivered as per agreements with internal and external suppliers.
- Interface with Maintenance employees to provide efficient support and data retrieval.
- Identify opportunities for continuous improvement within area of work and bring attention to those by recommending suitable actions.

**Qualifications and Skills**
- A certificate and/or diploma in Business Administration from a post‐secondary institution or similar certificate is preferred with 5+ years of administration experience.
- Working knowledge of manufacturing technical disciplines (engineering, millwright, instrumentation, electrical) preferred.
- Previous work experience in refinery or industrial facility preferred.
- Working knowledge of EAM, Primavera, MS Office Suite and SharePoint will be considered an asset.
