Overview:
**Term: 22 months**

The Undergraduate Advisor provides academic advice to undergraduate students enrolled in Computer Science courses from all Faculties and from other universities. This position serves as a resource for and supports officers and members of the School of Computer Science in areas of policy and practice.

**Responsibilities**:
Student Advising
- Advise undergraduate students regarding program requirements/changes, plan modifications, transfers, course selection/enrolment, and other issues in accordance with University policies and procedures
- Interpret, apply, and assists students in comprehending School, Faculty and University regulations, procedures, and policies
- Provide academic counselling to students in academic trouble
- Provide approval and assist students in the preparation of forms, including but not limited to Course Selection, Course Override, Plan Modification, and Standing and Promotion petition
- Deliver immediate support to students in distress; follow up with appropriate referrals
- Summarize and document advice given to each student to ensure continuity and consistency
- Maintain in-depth and current knowledge ofComputer Science’s undergraduate curriculum and academic requirements for all programs;
- Computer Science’s admissions regulations and practices;
- Areas of expertise that are of particular relevance to his/her position;
- University policies and Faculty regulations of particular relevance to student issues;
- Sources of support and help that are available to students, both within and outside the University
- Mentor contract/temporary staff advisors, and provide training and guidance

Research and Operational Leadership Associated with Advising Projects
- Provide advice and counsel to the Lead Advisor regarding advising practice and process improvement
- Research and report on best practices related to the project
- Research and implement new technologies related to the project
- Facilitate collaboration across various departments and units
- Effectively communicate project expectations and results
- Coordinate administrative aspects of project implementation
- Monitor, analyze, and evaluate the progress and success of the project through quantifiable metrics
- Develop project documentation
- Projects may include, but are not limited to:Academic advisement
- Academic progression
- Calendar/Course maintenance
- First Year experience
- Outreach
- Student experience/success/engagement
- Student Liaison programs

Liaison and Events
- Participate in the School’s transition and retention programs for undergraduate students
- Participate in development of, and communication associated with, workshops and resources for students as directed
- Facilitate the recruitment that a student representation is maintained on Undergraduate Academic Plans Committee (UAPC)
- Organize and/or participate in special assignments related to undergraduate studies and undergraduate recruitment for the School including assistance with various events (e.g., CS Welcome event)
- Attend, as directed, Universities Fair, March Break Open House, and other events
- Serve as the CS Advisor liaison to CS recruitment and marketing team, and to relevant personnel from extra-departmental parties

Communication
- Communicate undergraduate programs with managers and staff in the SCS Undergraduate Studies Office, numerous personnel from other Faculties and Departments who deal with teaching, recruitment, enrolment or academic records
- Update and monitor undergraduate studies web pages including, but not limited to, course descriptions, plan requirements, advising information, FAQ
- Preparation of formal letters, reports and statements

Administrative Support
- Provide administrative support to committee meetings related to Undergraduate Studies, such as scheduling meetings and recording minutes
- Monitor and keep a record of decisions of the UAPC, School Council and University Senate, and inform Director of Undergraduate Studies of status of outstanding items
- Monitor and maintain the teaching resource library, and process orders for textbooks and reservations of materials held in the DC library
- Assistant Instructional Support Group with their administrative support tasks when required by the Manager, Undergrad Studies

Qualifications:

- A university degree or an equivalent combination of post-secondary education and relevant experience. A minor in computer science is an asset. A Master’s degree is preferred.
- Minimum of three years of experience in areas of undergraduate student activity
- Experience in providing sound academic advice and interpreting academic policy
- General knowledge of post-secondary curriculum, academic requirements and admission regulations; knowledge of the School of Computer Science undergraduate curriculum, and academic requirements is preferred
- Working knowledge of student needs and concerns, and best practices and techniques related to student engagemen
