MacEwan University is seeking a friendly and service-oriented Administrative Assistant, Canadian Research Chairs (Admin Support III) for a full-time continuing opportunity with our Office of Research Services. You will provide comprehensive and centralized administrative support to the Canada Research Chairs (CRCs) in key tasks associated with scheduling of meetings, event coordination and planning, office supply management, as well as providing general administrative support for overall management of the CRC program through the Office of Research Services.
Key responsibilities include:
- Managing the CRCs’ calendars, including prioritizing meeting requests, scheduling regular and recurring meetings, and processing of registration for conferences and other events;
- Organizing meeting rooms, catering, and technology services for various meetings;
- Coordinating travel arrangements and accommodations for the CRCs for business/research purposes, guests, faculty, and students, including approved off-campus events/meetings;
- Taking meeting minutes, preparing agendas, following-up with action items, and communicating general logistics to stakeholders;
- Coordinating contracts and onboarding materials for the hiring of research personnel;
- Assisting with budget preparation, tracking, and running of financial reports for active research grants;
- Preparing, coding, and submitting CRCs expense claims and reconciling monthly P-card charges;
- Supporting post-award coordination, including progress reporting and compliance monitoring;
- Coordinating the purchasing of equipment, supplies, software licenses, and professional/contracted services and tracking inventory of supplies and end dates of licenses and contracts;
- Providing social media support for CRCs and/or the Office of Research Services related to CRC promotion.

- The ability to remain calm and professional in a highly intensive office environment with competing demands, frequent interruptions, and changing priorities;
- Strong verbal, written and interpersonal communication skills;
- Strong proofreading and editing skills;
- The ability to take initiative, work independently and manage multiple projects and/or priorities with mínimal supervision; and
- Resourcefulness, with the ability to use networks to gather information/data to prepare briefs and summaries.
**QUALIFICATIONS**:
- A minimum of a diploma in office or business administration or related field of study.
- A minimum of 3 years in an increasingly responsible administrative or relevant capacity.
- Experience in a post-secondary setting would be considered an asset.
