We are looking for a detail-oriented and proactive - Receptionist - to support the operations of the TICP Community Clinic. This key position involves ensuring the smooth running of the clinic through various administrative tasks and providing exceptional service to clients, therapists, and staff.
Key Responsibilities -
- Client Reception:
- Welcome clients for pre-scheduled appointments, maintaining confidentiality and a welcoming atmosphere.
- Provide information or redirect potential clients who arrive without completing the intake process.
Clinic Operations:
- Open and close the clinic daily, ensuring proper security of the facility.
- Maintain a quiet, professional environment to minimize disruptions during therapy sessions.
- Monitor supplies, oversee cleaning schedules, and manage waste disposal.
- Handle scheduling changes and room bookings as needed.
A/V and Room Setup:
- Facilitate audio/visual setup and troubleshooting in rooms for sessions or meetings.
Administrative Duties:
- Student Fees: Track fees, send reminders, and notify the Program Committee after 3 weeks of arrears.
- Student Assignments: Manage assignments, readings, and marks, and liaise with faculty and the program committee.
- Student Files: Mail required forms/docs, track receipts, manage transcript submissions, and maintain both hard and electronic copies in Google Classroom.
- Monthly Reconciliation: Prepare and report on petty cash.
Financial Oversight:
- Cross-check supervisor invoices and submit for accounts payable.
- Verify client invoicing and submit arrears to student therapists and the Clinic Director.
Data Management:
- Ensure data quality control in Cliniko, generating monthly reports on DCC and supervision hours, treatment note completion, terminations, and online session policy reviews for transcript submissions.
Team Collaboration:
- Work collaboratively with the admin team, students, clinicians, and faculty to support clinic operations.
- Communicate operational issues or concerns to the Clinic Coordinator and assist in implementing clinic policies.
Clinical Duties:
- Maintain a master list for intake and provide monthly reports on service requests.
- Redirect communications from clients to student therapists or the Clinic Coordinator, handling requests for service interviews and treatment notes.
- Send referral acknowledgments as necessary.
**Requirements**:
- Previous experience in a reception or intake position, ideally within a community agency, is an asset.
- Excellent organizational and communication skills.
- Ability to work effectively as part of a team.
- Familiarity with Cliniko, Microsoft Office Suite, Google Classroom; experience with scheduling software is an asset.
- Must be legally entitled to work in Canada.
