**PROFILE**:Provide reception duties as well as administrative support to the Human Resources Department.

**RESPONSIBILITIES**:

- Reception Duties
- Maintains a professional customer service oriented manner and supports the corporate image as per Company and Departmental objectives and policies.
- Operates switchboard, directing calls to appropriate department/individuals.
- Monitors staff whereabouts without interrupting business flow.
- Coordinates Dortec visitor program.
- Distributes incoming mail and ensures outgoing mail is stamped and processed.
- Administers process for packaging and form distribution for Federal Express and other couriers.
- HR & Health and Safety Support
- Provides administrative support to Human Resources department (special projects, filing, presentations, department meeting minutes, job descriptions, etc.) as assigned.
- Supports the coordination of Dortec Social Events, Charity Fundraising and HR Programs, as required.
- Coordinates monthly Coffee Chat, including meeting minutes preparation and distribution.
- Prepares New Employee Orientation materials/packages (HR/EHS).
- Administers Training notifications and the updating and maintenance of the Training Database.
- Communicates and coordinates the Employee Discount Program
- Maintains and Audits company-wide communication centers weekly to ensure information is up to date, consistent and presented supporting a professional company image and HR Forms are abundant;
- Distributes Magna People, Good for You Magazine, Annual Reports and other External correspondence/Communications.
- Assists with the preparation of the Perfect Attendance Program.
- Maintains time and attendance for HR Department (including vacation tracking).
- Manages HR Archive Room, appropriately allocating, storing and organizing all critical HR/EHS Documentation and Records.
- Maintains strict confidentiality of all information obtained, written or verbal, within the Human Resources Department.
- Follows and models safe working practices and promotes safety in the workplace.
- Performs special projects and other duties as assigned from time to time.
- Administration of Health and Safety Program (Matrix)
- Administration of HRIS system
- Performs audits and assessments as required.
- Perform other duties as required

**HEALTH & SAFETY RESPONSIBILITIES**:

- Follow the duties and responsibilities specified under the Occupational Health & Safety Act Sections 28.
- Ensure all safety and non-safety rules and regulations are followed.
- Ensure adherence to established safety, quality and housekeeping standards and participate in the continuous improvement process.
- Attends Environmental Health and Safety training
- Adhere to Magna Closures and Dortec health and safety, environmental, and quality standards, policies and procedures
- Follow compliance obligations
- Report any known near miss, environmental impact, hazard, defect, incident or compliance issue to the employer or supervisor
- Assist in near miss, hazard and incident investigations and provide input on corrective actions
- Understand BILL 168 and uphold the policies that prohibit domestic violence, workplace violence and harassment in the Workplace.

**QUALIFICATIONS & SKILLS**:

- Completion of community college diploma/certificate in a related field (i.e. Occupational Health and Safety or Human Resources Management)
- less than 3 years of work related experience (manufacturing environment an asset)
- sound Knowledge of all relevant Occupational Health, Safety or Human Resource Management, Safety Legislation
- Proficient in MS Office including Word, Excel and PowerPoint
- Excellent communication skills, verbal, written
- Strong attention to detail
