**About us**
Maxwell Merchant Solutions emerged to service the growing need for debit and cash register paper rolls and other service supplies as Canada's financial institutions accelerated into the electronic processing of credit and debit card transactions.
To support the national need for rapid service distribution across the country, Maxwell has opened branch offices in Halifax, Montreal, Belleville, Toronto, Calgary, and Vancouver.

**Requirements**:
- Post-secondary education in Business Administration, or relevant discipline, required.
- 5-7 years' experience in an Administrative role or Executive Assistant role.
- Strong knowledge of office procedures and practices.
- Ability to work independently and proactively.
- Keen attention to details.
- Ability to work well with others in a fast paced, dynamic environment.
- Proficient with Microsoft Office Suite (Outlook, Word, Excel, Power Point).
- Effective verbal and written communication skills in English.
- Accounting knowledge an asset
- Resourceful and flexible. Willing and able to take initiative when needed.
- Proven organizational and time management skills.
**Responsibilities**
- Provide direct administrative and office management support to all members of the executive team, as directed.
- Maintain work schedules and calendars of executive management
- Prepare travel schedules, book travel arrangements, and make reservations for senior management and executive staff.
- Coordinate logistics of executive team programs including meetings, seminars, workshops, special projects, and events.
- Review all documents, reports, and correspondence prepared for executive signatures for format, content, grammar, spelling and make edits as necessary.
- Prepare draft reports, background documentation, and research.
- Prepare various reports, file and organize documents
- Outbound telephone calls
- Coordinate office activities.
- Troubleshoot and/or escalate office administration issues.
- Receive incoming mail.
- Review, evaluate, and distribute priority correspondence for executive team.
- Facilitate communication from department managers, business unit leaders, and project managers.
- Complete expense reports, pay invoices, and other related duties.
- Take and transcribe dictation notes.
- Prepare and review presentations.
- Present a positive and professional image of the executive office to all visitors, suppliers, inquiries, and other persons.
- Enter work order and manage inventory
- Dispatch, escalate and close service work order
Salary based on experience
