IT Administrative Assistant

Reporting directly to the CIO this position will provide dedicated administrative support to IT Leadership team at the 407 ETR. You will provide a broad range of administrative or general office support for the broader team as assigned below.
The Primary aim for the role will be to provide a high level of administrative support ensuring quality service and professionalism at every interaction between the IT team and our business groups. In addition, your work will involve a range of complexity and may include but is not limited to the following accountabilities:
Position Responsibilities:
- Provide dedicated administrative support to the CIO and multiple Directors including their respective teams as required
- Provide a single point of contact for all external communications such as (Invoicing, Purchase Orders, contract renewal, ordering departmental supplies )
- Manage efficiently in a multi-tasked environment and ensure deadlines are met
- Provide accurate, organized and efficient administrative support such as balance and process expense reports, schedule and organize meetings
- Liaise with executive and senior administrative assistants to handle requests and queries from senior managers
- Consistently exercise discretion in handling correspondence, information and all matters of confidentiality; raise issues where appropriate
- Keep the IT leadership team informed and up-to-date about the status/progress of projects, and all relevant or useful information related to day-to-day activities
- Participate fully as a member of the team and contribute to a positive work environment
- When required attend meetings and take detailed minutes
- Assist in the preparation of regularly scheduled reports
- Update and maintain office policies and procedures
- Book travel arrangements for the IT Leadership team
- Provide general support to external visitors to the IT area
Qualifications:
- Proven experience as an Administrative Assistant, Virtual Assistant or Office Admin Assistant
- Knowledge of office management systems and procedures
- Working knowledge of office equipment, like printers and fax machines
- Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem solving skills
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to multi-task
- High School degree; additional qualification as an Administrative assistant or Secretary will be a plus
