Medical Office Assistant

Seeking a motivated, compassionate, organized individual for a small specialist clinic. You will provide administrative, clerical support to our multidisciplinary health care team; collaborate with our billing clerk and report to our office manager.
As this is a clinic dealing with elderly patients we ask that you be strong in:

Be diligent in their efforts to do no harm and, whenever reasonable possible, prevent harm from occurring to their clients
- Ethics: Obtaining consent from the client or substitute decision maker prior to providing any care. Caring and ethical in interactions with clients, families and colleagues. Supports an inclusive environment that is culturally sensitive and assuring that privacy and confidentiality and dignity are maintained.
- Professionalism: Utilize knowledge judgement and skill to provide routine care and assistance to facilitate their client’s health and welfare. Uphold the beliefs, values, knowledge and principles associated with office policies/procedures
- Privacy and confidentiality: respect the privacy of their clients and families and collect, use access, disclose and store the minimum amount of information required to provide safe and competent care. Provide the same level of privacy for colleagues in the office as well
- Community College Diploma in General or Medical Office or equivalent Administration;
- 1-2 years’ experience in health care;
- Strong knowledge of medical terminology asset;
- Excellent interpersonal skills and demonstrated ability to work effectively, both independently and as a team member;
- Excellent verbal and written communication skills;
- Ability to effectively handle confidential matters and materials;
- Ability to work well under pressure;
- Knowledge of administrative, organizational/office practices, procedures and standards.
- Proficiency in second language verbal and written communication skills is a **huge** asset.
- Excellent organizational and time management skills.
- Strong abilities for reprioritization and understanding the flow of your day.

**Duties**
- Answer telephones; retrieve voice mail messages and return calls in a timely manner; respond to internal and external inquiries within scope of responsibility and direct all calls appropriately
- Responsible for arranging CT scans, ultrasounds and all other requested tests ordered by physician.
- Responsible for keeping consultation rooms stocked with necessary equipment; maintains and orders office stationary supplies.
- Maintaining written and/or electronic calendar/schedules;
- Providing support with arranging small and/or informal meetings / teleconferences / events;
- Maintaining and modifying confidential medical electronic/paper filing/retrieval methods, systems, and/or formats;
- Communicating with patients in the healthcare setting, ensuring the efficient operation of the office;
- Administering basic cognitive testing and assisting in interpreting results
- Ensures maintenance of office equipment;
- Book patient’s as new patient referrals (contact patients with dates/times, contact family members for attendance) along with arranging interpreter if needed.
- Book patient’s appropriate follow up appointments
- Pull abnormal and urgent results for physician and follow up with patient as per physician’s request
- Prepare new patient packages as required.
- Dictation/transcription - patient letters with copies to referring physicians via mail or fax.
- Prepare daily clinic lists for physician and lab nurse; prepare weekly calendar for physician.
- Registering patients with correct HCN into PAM
- Evaluation of daily mail and faxes.
- Perform other related duties as assigned by supervisor.
- Performing other related clerical activities;
- Inventory and ordering of all office, medical supplies
*1 week training upon acceptance of position*
Schedule: Monday to Friday switching to part time remote for 6 weeks each fall and spring
Parking availability and permit paid for
