**Job Overview**

As an **Administrative Assistant/Receptionist **you will be responsible for providing professional, efficient, and effective administrative support to the Montreal office team. Key responsibilities include administrative support to the different lines of business, reception management, and backup call support for the Toronto office.
- **Responsibilities include**:_

**General Administrative Support**
- Performing general office tasks including photocopying, faxing, mailing, creating labels, etc.
- Create and organize client files when needed
- Minor research projects (i.e.: training & development, marketing, assistance in various Lines of business)
- Password protecting sensitive documents (tax forms, legal documents, etc.)
- Schedule meetings for partners and overall support during busy seasons
- Type documents in Word, Excel (mail merges, government paperwork, updating manuals)
- Typing, proofreading and sending of correspondence as requested
- Update CRM upon request
- Provide administrative support in both English and French

**Tax Season Support**
- Scanning incoming and outgoing documents as requested into respective folders on the server
- Create and execute mail merges and client communication packages
- Collating tax returns as needed
- Support Planners during tax season (i.e. scheduling client appointments, receiving clients, updating databases as required)

**Reception Support**
- Ensure coverage of phone calls during core working hours
- Make sure all calls are handled courteously, attentively, and efficiently
- Greet clients and ensure their welcome at reception is a positive experience by providing meeting room set up as needed (setting up IT for video calls and presentations, beverages, lunch as needed, personal attentiveness - making conversation)
- Keep informed of incoming clients by managing conference rooms calendars
- Make sure the reception area is clean and tidy at all times
- Collect and sort incoming mail, manage and arrange for outgoing mail
- **Competencies**_
- Proficient with Microsoft Excel, Word and Outlook
- Capable of working independently and taking ownership of tasks
- Demonstrates strong organizational skills, multitasking and thorough attention to detail
- A customer service focus and the ability to understand and accurately respond to client needs
- Fluency in the English and French languages, both verbal and written
- **Education and Experience**_
- 3+ years of experience in an administrative/reception role

**Remuneration**
- Base salary + bonus/profit share
