The Operations & Onboarding Coordinator is responsible for maintaining a consistent source of qualified individuals to fill a variety of positions within the organization with a primary focus on the trades. This person will be required to perform a variety of administrative tasks to support operations and the efficient recruitment and retention of employees. This position will use organizational skills, problem solving skills and leadership abilities to manage the administrative tasks within these areas.

**Key Accountabilities/Responsibilities**:

- Responsibility Area #1 - Operations Coordination_

Field Placing Progress Tracking
- Ensuring foreman’s daily reports are being submitted (cross reference against active jobs)
- Enter field placing/foreman’s daily reports into aSa field placing app
- Seek approval from manager to check off weekly field progress in aSa
- Retain copies of field placing/foreman’s daily reports
- Under the direction of CM/VP Ops prepare accruals from the 25th to 31st for all jobs
- Produce the weekly manhours report for CM/VP Ops approval

Produce bi
- weekly fabrication manhours report for production supervisor

Fleet/Tracking of Capital Assets
- Track monthly KM’s
- Update/track assigned assets (vehicles & cell phones)
- A&H demerit tracking
- Filing/tracking vehicles expenses/maintenance records
- Updating & tracking fuel cards

Payroll
- Reviewing timesheets (Hours, LOA, KM's, Payroll Deductions (Supplies, Speeding Tickets)
- Gathering expenses for review of CM/VP Ops
- Saving copies of timesheets
- Rolling over timesheets to the current pay period

Procurement
- Ordering miscellaneous tools/consumables for the field & shop under the direction of CM/Production Supervisor
- Coordinating delivers of job tools/trailers for various jobs

MISC
- Assisting with completing and submitting union membership documentation
- Assist with manpower/scheduling of resources
- General administration duties as needed
- Responsibility Area #2 -Recruitment, Onboarding and Retention_
- Create job postings and find platforms to utilize
- Screen Resumes & conduct initial phone screens
- Creation of job descriptions
- Conduct reference checks
- Coordinate and assist with new hire orientation, collect all required training certificates, and submit all documentation to payroll
- Set up any site-specific pre-requisite training courses for new or transferring employees
- Coordinate transfers of personnel between AHS & AHV
- Under the direction of managers request and track dispatch slips
- Booking and organizing all camp and travel arrangements
- Work closely with Management and Field Superintendents to anticipate recruitment needs
- Build relationships & contact trade personnel on a regular basis and keep them appraised of upcoming work
- Create & maintain a database of trades personnel for recruitment purposes
- Build relationships with outside organizations to source new talent
- Full-cycle recruitment of personnel
- Support the updating and maintenance of employee files
- Track employee probation periods and coordinate reviews
- Assist with tracking training costs

- Respond to requests for manpower
- Answer employee questions regarding health and safety, company policies and HR best practices while ensuring strict confidentiality
- Responsibility Area #4 - Health and Safety_
- Ensure that self and others adhere to A&H Steel’s health and safety practices and procedures
- Track current employees training certificate expiry dates and register employees for training prior to expiry date
- Responsibility Area #5 - Values and Purpose_
- Focus on developing self and others through practicing living the company values every day
- Participate in continuous trainings, coaching, and discussions about the values
- Participate in helping A&H facilitate its purpose.

**Required Knowledge/Skills/Abilities**:

- Proficiency with Microsoft Programs (Excel, Outlook, Word, etc.)
- Proficiency with Google Calendar system
- Excellent oral and written communication skills
- Strong organizational skills with the ability to multi-task
- Ability to act with the strictest of confidentiality
- Experience in the construction industry is considered an asset

**Education and Experience**:

- A combination of education and experience outside of the standards below may also be considered
- Experience working with a union

**Education**
- Post-secondary diploma or equivalent work experience
- Strong understanding of employment law
- Strong understanding of the OHS regulations

**Minimum Experience**
- 3 - 5 Years

**Salary**: $45,000.00-$55,000.00 per year
