Madinatul Uloom Academy is a private school operating in the heart of Scarborough, Ontario since 1996. We are seeking to hire a **School Secretary**.

**Job Summary**

As the school secretary, you will be responsible for maintaining student records, welcoming school visitors, interacting with students and parents, transferring calls, mailing forms, and handling any day-to-day clerical needs required by the school.

**Responsibilities**:

- Mail student report cards, school brochures, and other necessary forms.
- Welcome visitors to the school and provide directions around the building as needed.
- Sort and distribute mail delivered to the school office.
- Contact parents in the event of student illness or behavioural issues.
- Use a computer database or filing system to maintain and update student records.
- Provide administrative support to the principal or other upper-level administrators as needed.
- serve as a central information point to the public, students and staff regarding school-related matters and procedures.
- Answer incoming calls, provide information, direct calls where necessary and take messages.
- Operate office equipment including fax machines, copiers, scanners, and printers.
- Track inventory and order supplies.
- Coordinate and monitor safety procedures for the purpose of ensuring the safety of students and staff.
- Receipt and deposit all monies collected from staff.
- Provide staff and stakeholders with accurate information regarding school operations.
- Operate electronic mail systems and coordinate the flow of information internally and externally
- prepare a variety of documents including correspondence, agendas, event programs, reports, schedules and calendars.
- Attend office meetings and take minutes.

**Job Skills & Requirements**
- A high school diploma is required.
- Previous work experience in an office setting is preferred.
- Demonstrates strong interpersonal skills.
- Maintains a professional and friendly demeanour.
- Possesses excellent organizational and planning skills including the ability to maintain an effective balance between multiple and competing priorities.
- Is capable of managing time efficiently.
- Proficient in spelling, punctuation, grammar and other English language skills.
- Possesses excellent telephone etiquette.
- Confidentiality, integrity and adherence to ethical standards.

**Job Types**: Full-time, Part-time

Schedule:

- Monday to Friday

**Education**:

- Secondary School (preferred)

**Experience**:
