The Faculty of Health Sciences is a large, diverse, and comprehensive unit, comprised of six Schools (Nursing, Kinesiology, Health Studies, Physical Therapy, Occupational Therapy and Communication Sciences and Disorders), a large Interdisciplinary Graduate Program in Health and Rehabilitation Sciences, three Research Centres (the Canadian Centre for Activity and Aging, the International Centre for Olympic Studies, and the National Centre for Audiology) and lead Faculty of the Musculoskeletal Health Research Cluster. The Faculty has more than 3,200 undergraduate students and more than 800 graduate students (200 PhD students). The Faculty, formed in 1997 with the amalgamation of three large autonomous Faculties, is composed of both professional and disciplinary Schools and members who specialize in either the social or bio-physical sciences.
**Responsibilities**:
The Undergraduate Assistant provides administrative support for the undergraduate programs within the School of Health Studies. The Undergraduate Assistant provides administrative support to the Academic Advisors and Undergraduate Program Chair, the Curriculum and Undergraduate Affairs Committee, the School Director, the Manager of Operations and Finance, Program Manager, Undergraduate Student Services and faculty members. The Undergraduate Assistant responds to student inquiries, to provide program information and University academic policies and procedures and resolves many student related issues, or refers to Academic Advisors or Undergraduate Chair as needed. The Undergraduate Assistant supports course and exam scheduling, independent study courses, grade submissions, adjudication, awards, scholarships and publication updates.
**Qualifications**:
**Education**:
- 3 year college diploma in Administrative or Business Studies
**Experience**:
- 3 years’ experience in Customer Service with responsibility of administering Western University’s Student policies & procedures
Knowledge, Skills & Abilities:
- Familiarity with academic calendar and programs (undergraduate cycle, program and academic policies and procedures) at Western preferred
- Ability to understand student needs and expectations and provide excellent customer service directly and indirectly to satisfy expectations
- Excellent verbal and written communication skills and confidence dealing with all levels of the organization
- Strong attention to detail and ability to process information with high levels of accuracy
- Intermediate computer skills in Microsoft Office and Laserfiche
- Demonstrated ability to work independently and take initiative and follow through on work assignments
- Exceptional organizational skills and the ability to manage activities both for self and others effectively
- Strong relationship management, influencing and collaboration skills
- Ability to work well under pressure and handle multiple conflicting priorities in a fast-paced environment with frequent interruptions
- Ability to plan and manage events of various sizes; familiarity with large scale events an asset
- Professional manner, tact, diplomacy and discretion in dealing with associates and colleagues including senior management
- Competency to maintain confidentiality and treat sensitive information with discretion
- Ability to establish rapport with people from diverse backgrounds
