As the Indigenous Consultation Assistant, you will be responsible for supporting, coordinating and participating in the implementation of the department’s Indigenous engagement and consultation activities. This includes providing administrative and coordination support for outreach, engagement and consultation activities and assisting with other related activities as required. The incumbent shares information with the Indigenous Relations Department as it pertains to corporate strategic initiatives relating to Indigenous rights, issues, interests and opportunities.
**What you will do**:
- Participate in and coordinate activities to implement the department’s engagement and consultation activities, including maintaining communication and contact with aboriginal groups following established protocols.
- Coordinate and liaise with the appropriate project teams and internal departments to fulfil information requests to support the development of appropriate consultation materials, ensuring that appropriate review takes place.
- Research and extract issues and resolutions from diverse source material to aid in aboriginal consultation activities.
- Compose drafts, proofread and format correspondence, presentations and spreadsheets. Assemble, prepare, collate and distribute as required.
- Act as the point of contact for general information or inquiries from internal or external stakeholders, using discretion and judgement on sensitive issues. Escalate issues to management for timely resolution, as required.
- Maintain all records related to engagement and consultation, including infrastructure-related tracking and for submission as part of regulatory processes.
- Prepare and coordinate submissions, correspondence, records, reports, tracking tables, payment requests, etc.
- Compose, proofread and format correspondence, presentations and spreadsheets. Assemble, prepare, collate and distribute as required.
- Coordinate team purchases using VFPA credit card and reconcile statement, as needed.Track offers of aboriginal participation and study funding, and complete requests for payment as required. Follow-up on routine financial queries.
**What you bring**:
- You will have completion of an acceptable post-secondary certificate along with a minimum of 1.5 years of administrative experience related to infrastructure projects or permitting processes requiring indigenous consultation.
- You will have proficiency in Microsoft Office Suite, with experience using engagement and consultation tracking software.
- You will be a self-motivated individual with excellent interpersonal and communication skills, including tact, diplomacy and the ability to liaise effectively and positively with both staff and outside contacts.
- You will process a good understanding of aboriginal culture and protocol and have excellent verbal and written communication skills.
- You will be a team player with a “customer service” focus.
