Service Administrator

Service administrators provide administrative support and perform customer relations duties in the service department. You support and work in close collaboration with the Service department and the Fixed Operations manager. Coordinate appointments and services, and process service-related paperwork. You collect payment and complete payment processing transactions, maintain billing records and invoices, and handle light bookkeeping duties. They assist with resolving any customer concerns or issues, with the goal of maintaining high standards of customer satisfaction.
**POSITION DUTIES AND RESPONSIBILITIES**:
Ensuring that documents are accurate and well-maintained.
Keeping up-to-date with dealership announcements and factory recalls.
Organizing and maintaining customer and service records.
Maintaining good relationships with clients.
Liaising with manufacturers.
Perform research on warranties and prepare customize warranty papers for work.
Review all warranty claims and administer it with warranty awarded.
Monitor all customer inquiries and requests on all warranty issues.
Supervise all information and update database and prepare require filling documents.
Maintain knowledge on various warrant programs by active participation in education programs.
Prepare and maintain all documents according to distributor and manufacturer requirement.
Monitor defective products and withdraw specific batch of products if required.
Manage all warranty claims, resubmit claims of required and ensure appropriate action.
Coordinate with account departments and settle all warranty claims.
Prepare documents for all warranty papers and mention repair order number and date of replacement.
Maintain records of customer details and warrantor references.
Ensure customer satisfaction.
**Qualifications**
- Experience in dealership parts or service department is required
- Maintain a valid Class 5 Drivers Licence
- Exceptional communication and organizational skills
- Team orientated
- Have attention to detail and accuracy.
- Ability to keep up with changing technology
- Provide excellent customer service
- Microsoft Word, Excel and Outlook proficient
