**Position Summary**

Reporting to the VP - IP Transactions and Analytics, the Program Coordinator will administer the various functions of the IP Transactions and Analytics Team. The team functions include performing due diligence and research, acquiring assets and rights for IAC’s portfolio through IP transactions, preparing patent landscape reports, coordinating IP insurance sign-ups, meeting with member companies to assess needs, tracking and recording various KPIs, and providing information and support to other teams in the organization.

The Program Coordinator will leverage MS Teams/Sharepoint/Hubspot/Asana to keep stakeholders (both internal and external) on task, organized, and working with up-to-date files across all the functions of the team. The Program Coordinator will also assist with the management of IAC’s contracts and portfolio of assets.

**Key Responsibilities**

Under the direction of the VP - IP Transactions & Analytics, and working together with key internal and external stakeholders, the Program Coordinator will support the organization, administration, and delivery of IAC’s initiatives by:

- Leading the administration and organization of the team’s corporate accounts including: MS Office

(Sharepoint, Teams, Planner, Calendar, and Outlook inbox), Zoom, patent and market database search tools, and more.
- Supporting IP transactions by liaising with external counsel, assisting with the completion of closing and asset transfer documents, inputting contract and asset information into a database and managing the database, updating lists of assets in Excel, etc.
- Coordinating internal and external meetings by sending invitations, developing agendas, and taking notes.
- Coordinating the team’s projects by communicating tasks, sharing files, and tracking milestones using

Asana.
- Liaise with certain external providers as needed, including tracking related quotes and contracts.
- Coordinating IP insurance announcements and member sign-ups, and tracking activities related to this program.
- Coordinating the translation and publication of landscape reports, including related promotional material, with the help of the communications team.
- Supporting the tracking of various KPIs, by inputting and updating information in Hubspot, and other administration as needed.
- Representing the team in internal reporting meetings and sharing updates accordingly.
- Participate in Special Projects as required by the IAC executive team.

**Required education and experience**
- Post-secondary degree, diploma or equivalent in business administration.
- 2-3 years of experience in program or office administration.
- Experience in formal project coordination
- Experience in data management
- Experience in IP law or other areas of law is an asset.
- Experience facilitating virtual meetings and webinars is an asset.
- Public/Government/Start-up experience is desirable.
