Position Summary:
The Proposal Specialist will co-ordinate and produce the proposal response. This role will focus on the management of the proposal intake process, managing timelines and writing proposals for prospective and existing customers.

Here’s what you’ll get to do:
RFP Process - handles the proposal development process from start to submission, which includes but not limited to:

- Meticulously review of Request for Proposal (“RFP”) documents to clearly understand submission requirements
- Download/retrieve necessary RFP forms, attachments, addendums
- Manage, coordinate and prepare proposal submissions for public and private sector RFPs and other proposals
- Ensure compliance with RFP mandatory requirements
- Create and manage all proposal templates including format, content and technical writing such as methodologies in line with brand standards (where applicable).
- Responsible for reviewing and interpreting RFP and RFQ documents and determining requirements for successful proposal submission.
- Review proposal drafts for consistency, clarity and appropriateness of the content and ensure the final document is free of typos, grammatical and spelling mistakes.
- Ensure each proposal submission is submitted within the established deadline.
- Develop PowerPoint or other similar materials to support client pitches and interviews.
- Track pitch and proposal activity
- Execute project contracts and start-up documents (i.e. insurance, WSIB, etc.)
- Any other duties as assigned

Here’s what you need:

- A post-secondary degree/diploma or equivalent industry experience.
- Minimum 3-5 years proposal writing experience (or similar) including direct experience with RFP’s and RFQ’s as well as other forms of tender documents.
- Proven ability to organize, prioritize, manage information to create documents under pressure: demonstrated ability to quickly change tasks as demands change.
- Exceptional writing, editing and proofreading writing skills in order to create comprehensive correspondence, proposal responses and client presentations.
- Strong verbal communication, active listening skills and interpersonal skills.
- Demonstrated ability to translate complex ideas into understandable language.
- Flexibility and resilience and ability to stay calm under pressure.
- Detail oriented, innovative and independent thinker with a get it done attitude.
- Excellent analytical and problem-solving skill
- Proficiency with Microsoft office.
