Organizational Status

This position reports directly to the Administrative Manager and receives direction from the Schools Director and individual researchers/faculty with regards to their specific research grants. Liaises with faculty members, researchers, and research post graduate students as required.

Position may be renewed pending availability of funding.

Work Performed

Primary responsibilities include:

- Communicates with Faculty on a regular basis to identify upcoming funding needs.
- Provides advice in the identification, assessment for eligibility, development, and preparation of research grant and academic proposals for publication, letters of intent, background documentation, research program rationales, and other documents.
- Coordinates grant proposal process including establishing timelines, managing complex signature process, editing common CVs and reviewing research budgets to ensure they meet UBC requirements.
- Works closely with investigators to convert research initiatives, concepts and results into written documentation, and disseminating information.
- Provides research faculty and others research information on UBC and Tri-Council and other agencies on policy and procedures as they relate to grant expenses and study planning.
- Provides guidance to research fellows, assistants and students in the preparation and writing of research funding proposals as requested;

Grant-related administration procedures and other duties:

- Reports research successes to the School (Director’s Office) and all UBC communication outlets;
- Coordinates nomination process for both internal and external faculty awards and honors.
- Assists in the development of web pages and related links for research investigators, laboratories, and programs.
- Provides Research Grant financial information from UBC WorkDay regarding inputted budget, balances available, expenses incurred, etc.
- Identifies and collects relevant grant information, research budgets, statistics and curriculum vitae and prepares reports for the School Director, Faculty of Medicine Dean s Office and others as requested.
- Developing a network with other university units, granting agencies and program officers to ask questions on behalf of research faculty and others.
- Performs other duties as required.

Consequence of Error/Judgement

The Research Grants Facilitator will work in close collaboration with the Administrative Manager. Errors in performance of the above-related duties could have a significant impact on the effectiveness, image, reputation and financial status of the School. Inappropriate judgment could result in loss of potential research and/or infrastructure opportunities, or in funding shortfalls for specific research grants or contracts.

Supervision Received

Under the general direction of the Administrative Manager, this individual will be expected to work independently in accordance with established objectives; and exercise initiative and judgment in performing all work-related functions.

In collaboration with the Administrative Manager, the Research Grants Facilitator will be responsible for delegating tasks as appropriate to office staff. Provides direction and/or training in UBC and Tri-Council policy and process as it relates to research projects to current and future researchers and students.

Minimum Qualifications

Undergraduate degree in a relevant discipline. Minimum of two years experience or the equivalent combination of education and experience.
