The Stock Transfer Administrator is responsible for validating and processing transfer requests, supporting shareholder requests as well as other administrative duties within the Operations Group to support the Supervisors mandate
- Operate two distinct record keeping systems supporting our client shareholders transfer requests
- Timely processing, reviewing, invoicing and validating of securities and supporting documentation to ensure the requirements are in accordance with our policies and procedures
- Coordination of new share issuance and organizing closing mechanics
- Coordination of printing securities from both systems
- Service in person attendance of brokers, clients and shareholders at the service counter
- Receiving and Distribution of items received from the mail or counter
- Maintenance and logging of outgoing mail and courier tracking and insurance
- Respond to written and telephone enquiries regarding transfer requirements from shareholders and internal clients.
- Maintenance and administration of operations manual fees
- Scanning and filing of signed batch tickets
- Assembling physical debits processed via virtual remote processing
- Ensure compliance with policies, procedures and regulatory requirements.

Skills and Experience:

- Communication: Excellent written, verbal and listening skills
- Strong organizational, interpersonal and communication skills
- High attention to accuracy and detail
- Ability to organize and prioritize tasks and effectively communicate with peers and all levels of the company
- A working knowledge of the securities industry as it relates to back office administration
- A willingness and ability to adapt to a changing environment and responsibilities
- Must have a flexible schedule to work overtime as required
- 1 to 3 years experience in an administrative role
- Completion of Canadian Securities Course and similar courses are preferred, but not essential
- Bilingual in English/French an asset
- Confidentiality: Show discretion and ability to handle confidential issues
- Independent worker: High level of self-motivation and at ease working independently when necessary
- Interpersonal skills: Pleasant, diplomatic manner and disposition in interacting with senior management, co-workers and the general public
- Teamwork: Works well in a team environment, actively contributes to the success of the group

Salary Range: $42,000 - $52,000 /year
