**Position Title**
- Training Solutions Assistant**Position Summary**
- The Training Solutions Assistant (TSA) supports the Corporate Training Development and Delivery team. The TSA provides comprehensive administrative support, ensuring smooth operations in course and event setup, assisting in delivery support, and managing program paperwork.This position communicates effectively with various stakeholders while providing front-line support for learner inquiries. The TSA works in a highly collaborative team environment to ensure all learners have the best experience at Red Deer Polytechnic.**Position Responsibilities**
- Provides administrative support services to the Business Solutions Manager
- First contact presence for Corporate Training office; provides coverage for Administrative Assistant
- Provides Business Development and Corporate Training administrative support services
- Arranges complimentary parking passes for external guests, as appropriate
- Maintains office-supply inventory for Corporate Training team
- Prepares materials of a confidential nature, such as manuals, schedules, and data for reporting as requested
- Along with the Administrative Assistant and Administrative Officer, acts as the division’s Safety Warden
- Provides support to prospective and current learners regarding their courses and general questions, escalates complex cases to Associate Training Coordinator
- Contacts previous students and clients about upcoming courses, update statistical forms and spreadsheets as required
- In collaboration with Associate Training Coordinator, monitors course enrollment to determine when students can take specific courses that are required for their program completion
- Reviews courses in Lumens to ensure attendance and grades are entered by instructors
- Notifies instructor(s) if grades are not entered in Lumens 10 days after course completion
- Submits grades for Banner entry if needed and converts grades into proper format if necessary
- Provides instructors and staff with information concerning RDP processes and timelines, service and support, administrative practices, office equipment and basic software questions
- Provides instructors, students and organizations support for Lumens login, course information and the registration process
- Collaborates with the Training Development Lead and Associate Training Coordinator on all program, course, event setup details, and instructor recruitment as appropriate
- Assists with set up of video equipment, food orders, room bookings, materials, course supplies. For both in-person courses and digital courses
**Required Qualifications**
- Two (2) years of post-secondary training, completion of a community college certificate including trades apprenticeships or equivalent
- Demonstrated a proactive and innovative mindset, with a strong drive for creativity and problem-solving
- Demonstrated effectiveness and clarity of verbal and written communication with excellent interpersonal communication skills and phone manners
- Experience scheduling/setting up meetings and appointments on and off campus, this may include travel arrangements
- Experience preparing meeting agendas, minutes, letters, and memos accurately
- Proficient in Microsoft Office 365, including SharePoint
- Working knowledge of Records Management
- Ability to learn and adapt to new software programs
- Ability to work both independently and in collaboration with a team
- Strong organizational and time management skills with a demonstrated ability to take initiative and proactively complete tasks
- Ability to develop and maintain positive working relationships with all contacts internal and external to the Polytechnic and work successfully with diverse groups of people
- Proven experience in administrative roles, preferably in a training, event set up or education setting
- Flexibility to adapt to changing priorities and deadlines
**Preferred Qualifications**
- Experience using BlackBoard, Banner, Cognos, Lumens would be an asset
- Current knowledge of the administration of a post-secondary educational institution would be an asset
- Experience with learning management systems (LMS) is desirable
