Film Permit and Services Coordinator

- Function as one window in for film productions (clients) exploring and requesting City services or permits in a timely manner.
- Coordinate with other business units to assess logistics, scheduling, fees and billing, approval processing to provide confirmation and permit or legal agreement back to the production.
- Consolidate permits, schedules, and forms and billing.
- Inform contributing BU's, 311 and other requiring awareness such as Community Associations or Council members of the production and its impacts.
- Connection between various customers (both individuals and organizations), for customer requests and concerns.
- Interpret requests, answering customer inquiries and actioning the most suitable solution by providing support and information.
- Coordinate resolution of issues across the BU.
- Work with the management team for resolution when escalation is needed.
- Analyze potential impact of issues, develop appropriate mitigation, management, and communication strategies, and manage implementation of issue management plans.
- Approve requests, seek additional information, determine appropriate conditions of use, seek permission from another BU, or deny the request.
- Follow processes to administrate the permits or services requested.
**Qualifications**
- A completed 2-year diploma in Business Administration, Communications, Event Management, Film Studies, Media Arts, Film Video Production or related and at least 5 years of experience in areas such as customer service, using software to track multiple requests or other work-related experience.
OR
- A degree in Business Administration, Communications, Event Management, Film Studies, Media Arts, Film Video Production or related and at least 3 years of experience in areas such as customer service, using software to track multiple requests or other work-related experience.
- An in-depth knowledge of Bylaws, various policies, operating and maintenance procedures, and the different roles within contributing BU's is required to exercise the judgement needed to approve or deny requests is required.
- Intermediate proficiency in Microsoft Word, Microsoft Excel, Microsoft 360, Microsoft Teams, Adobe, and Webmail is considered an asset.
- Strong communication, interpersonal, analytical, problem solving, and strategic planning skills are essential for the success in this role.

Compensation: Pay Grade 10 $41.28 - 55.18 per hour (2024 Rates)
- Days of Work: This position typically works a 5 day work week, with 1 day off in each 3 week cycle.
Hours of work: Standard 35 hour work week
