The Operations team provides direct support to all Contractors/Employers of our clients to ensure accurate and timely remittance entries according to the applicable Collective Agreement(s). The Operations team is the front line of incoming member contributions and union funds. The team ensures correct amounts are passed onto our members to establish/maintain benefits, participate in the Pension/RRSP plans, collect SUB & Vacation Pay benefits, and ensure Associations/Local Unions receive the proper amounts for all Union funds collected by Union Benefits. This position plays a critical role in setting the standard for providing service excellence to the Contractors/Employers, our members and clients.

**Primary Responsibilities**:

- Assist Contractors/Employers with the monthly contribution reporting into the online remittance portal, validating their remittances and assist with making corrections
- Direct contribution entries into the online remittance portal, ensuring total accuracy. Inputting payments into single or multiple batches, closing, and uploading batches into the proprietary database system, and posting batches
- Ensure all remittances were successfully uploaded. Running and checking reports for the status of all remittances in the online portal and the proprietary database, making any necessary adjustments before month end processing
- Daily documentation of date and applicable work month contractor/employer remittances were received; maintain correct records to ensure proper information is given to Accounting and the Trustees
- The position will require regular use and maintenance of excel data files required for the ongoing effective administration of our clients
- Work closely with the Union Local (client) office administration staff and occasionally the Business Managers, to support their efforts as they also provide support to their contractors and members
- Work with the Member Services team to provide information on current and past member contributions and work with the Accounting team on cheque and EFT payment issues
- Facilitate the transfer of members welfare and pension contributions to another local (internal or external) and prepare the cheques from the Local Trust fund
- Work with our proprietary member database system that tracks member contributions; maintain/update member records when required (ie: addresses, transfer local #)
- Provide support with month end reporting such as processing and printing reports and prepare cheques to our suppliers/partners (SSQ, Worldcare, EAP) at the beginning of every month
- Maintain employer records in both the online remittance portal and proprietary database
- This position may at times be the backup for reception, mail, vacation, and SUB payments when required
- Support the Operations team members during their Vacation or various times as required
- Improve, develop and maintain employer support systems and administrative practices within the operations and/or other areas
- Work collaboratively with other departments to ensure employer, member or client issues are openly communicated and addressed in a timely fashion

**Experience, Skills, and Education**:

- Minimum 2+ years client service or implementation background
- A College Diploma in business, adminstration, operations or related field
- Excellent verbal and written communication skills
- Experience working directly with contractors/employers, plan members and administrators and can handle sometimes challenging situations with confidence
- Strong analytical skills with the ability to handle problem-solving with perseverance and accuracy
- Solid working knowledge of Microsoft Office
- Advanced knowledge of Excel
- A self-starter with the ability to work independently and prioritize competing tasks in an ever-changing multi-faceted workflow
