**Part-time Counselling Clinic Administration**
**Proposed Part-time Hours**:
Mondays, Wednesdays, Fridays, 9:30am-4:00pm *hours may vary.
$22/hr
**Who we are**:
We are a diverse practice that focuses on children, teens, and families. We are a friendly team who offer individual counselling, couples counselling, play therapy, parenting support, coparenting support, family mediation, family court reporting and parenting coordination services to Nanaimo and many neighbouring Island communities. We offer many specialized counselling services with the goal of making a difference to the people we serve but also in their relationships.
**Required Skills**:
- A calm and professional presence, strong interpersonal skills.
- Comfortable making and answering phone calls to explain our services and make appointments or changes to appointments. Taking and relaying messages and new inquiries to the clinical team.
- De-escalation skills to deal with challenging or overwhelmed clients.
- Enjoys and is comfortable around children and pets (therapy dog).
- Ability to attend to and assist with the multiple needs of the Clinical Director in both office administration duties as well as in Parenting Coordination and court-involved files. Including taking minutes in Parenting Coordination and Family Mediation sessions.
- Accurate invoicing, payment processing, and tracking and managing of retainers/deposits.
- Proficient in Microsoft Word, Excel, Outlook and other sites such as Canva, and PDF element.
- Strong writing and editing skills are critical to this position.
- Ensuring compliance with clinical standards of counselling practice (file closures, consent forms, confidentiality, etc).
- Ability to learn OWL Practice online case management software.
- Comprehensive and consistent community presence is maintained through writing, posting, and editing marketing materials including: websites, social media, recruitment materials, and counselling host sites.
- Work collaboratively with community partners, enders, and professional services to support the Allius clinic.
- Banking and paying of invoices, sending of receipts to clients, and recording payments.
- Other general office duties as assigned by the Clinical Director.
- Maintain a high level of professional ethics, privacy and confidentiality.
- Bookkeeping skills would be an asset
- Is excited to work with people - is outgoing, friendly, a good listener, a team player, and can make people feel at ease with a warm disposition and a caring style.
- Has experience dealing with the public/clients who may be challenging.
- Has some interest or background in the work we do at Allius.
- Enjoys taking initiative on tasks and projects
- Must be organized and enjoy creating and monitoring office systems and processes for efficiency.
- Has experience in marketing and can provide guidance and maintenance in future advertising strategies.
- Preference will be given to someone with a proven administrative work history or to someone who has post-secondary education/degree in an area that could compliment the position.
- Has a reliable form of transportation and is comfortable working in an office
- this position is not available remotely.
- Contributes to the development of new ideas and approaches to improve our client numbers and marketing appearance.

Part-time hours: 18-20 hours per week with the potential for more hours in future.
