**Your role within the team**:

- General reception duties including welcoming guests and clients, receiving, directing, preparing, distributing and signing for incoming and outgoing courier packages, opening and date stamping all general correspondence.
- Manage local office requirements including ordering office and kitchen supplies and raising IT requests and working with IT to resolve office computer fax, photocopier, cell phone and regular phone issues.
- Format, edit, proofread and distribute outgoing correspondence, reports, proposals, and other documents according to company templates and standards.
- Compile complex PDF documents.
- Prepare and distribute agendas, notes, Powerpoint slides and other material needed prior to meetings; record, prepare and distribute meeting minutes.
- Classify documents related to projects according to the established procedure as well as carry out document control related tasks.
- Assemble data and statistical information when requested for research and informational purposes.
- Organize and maintain various documents (corporate CVs, project fact sheets, etc.).
- Organize and set up conference calls, video conferences, meetings, catering, and arranging the scheduling, invitations and confirmations of meetings.
- Extracting and compiling a variety of engineering data from such sources as field notes, manuals, processing data and presenting data.
- Update project budgets and forecasting.
- Initiate purchase requests.

- Minimum of 5 years’ experience working in a large office, supplemented by an administrative course or additional relevant experience.
- Excellent computer skills; proficient using Microsoft Word, Excel, and Powerpoint is a must; Microsoft Visio and Project and Adobe InDesign and Photoshop are an asset.

- Previous administrative work experience in a professional environment, ideally in consulting engineering is desirable.
- Ability to prioritize work and be flexible when priorities change.

- Willingness to learn new skills and provide administrative support in a number of capacities.
- Analytical problem-solving skills and attention to detail and the ability to multi-task in a fast-paced consulting environment.
- Valid driver's license and own vehicle to commute between two office locations.
