This position reports to the Program Manager of the Master of Physician Assistant Studies (MPAS) program.
The MPAS office oversees 20-40 students' training to become physician assistants. Following policies and standards established by the University of Calgary and the Cumming School of Medicine, the Program Coordinator works closely with the Program Manager to coordinate first-year didactic learning experiences in the program and supports Year 1 faculty members and course leadership to coordinate instruction and ensure consistency in teaching.
The main purpose of the position is to oversee the academic, administrative, and operational aspects of the first year of the Physician Assistant program. This role involves supporting students, faculty, and staff to ensure the smooth execution of the program, guiding students, and ensuring that the program aligns with accreditation standards and institutional goals.
As part of a dynamic team, the Program Coordinator contributes to the University's and the program's strategic goals related to student support and high-quality student service delivery. This position provides continuity, coordination, and quality control of graduate student admission processes within the program. The incumbent provides accurate information and guidance to students on procedures, policies, and regulations and administers all aspects of student affairs processes from preadmission to graduation.
**Summary of Key Responsibilities** (job functions include but are not limited to):
Curriculum Management:
- Assist the course leads in the design, development, and implementation of the Year 1 curriculum
- Collaborate with faculty to ensure the Year 1 courses align with the overall program objectives and accreditation standards
- Help with timetabling year 1 and year 2 courses
- Review, update, and upload course materials, syllabi, and quizzes/assessments to D2L
- Manage scheduling and logistics for all events related to the Year 1 curriculum
Faculty Collaboration:
- Work closely with Year 1 faculty members to coordinate instruction and ensure consistency in teaching
- Assist with faculty meetings and ensure clear communication between faculty, students, and administration
- Help resolve any issues related to teaching or curriculum delivery.
Student Support:
- Track student progress and provide mentorship, support, and referrals to academic resources as needed
- Provide preliminary individualized guidance for students about leaves of absence, unsuccessful coursework, reappraisal of graded term work, and program withdrawals
- Collect and analyze student performance data to help improve the curriculum and student learning outcomes
- Evaluate and monitor academic progress and provide necessary intervention or remediation for students who are struggling
- Help manage preceptor evaluations and feedback, ensuring that data is monitored and issues are addressed promptly to support student success
Administrative Tasks:
- Maintain accurate records on Year 1 student performance, attendance, and other academic data
- Assist with the preparation and submission of accreditation documentation for the program, and accreditation site visits
- Provide advising to students related to registration, progression, and convocation processes to ensure program requirements are met.
**Qualifications / Requirements**:
- Bachelor's degree in a relevant discipline (eg. Education, Business, Health/Science) is required
- A minimum of three (3) to five (5) years of progressive experience coordinating educational programs and experiential learning, preferably supporting health professions education programs
- Strong time management, project management, organizational skills, and written communication skills
- Ability to manage a heavy workload during peak periods
- Proven ability to build and maintain strong relationships with external stakeholders
- Excellent attention to detail and problem-solving skills
- Highly developed analytical skills with a proven ability to adapt quickly to effectively changing priorities
- High level of proficiency in D2L. Experience with One45, MedSIS, and Notion would be beneficial
- Demonstrated ability to work independently and in a team environment, with the ability to initiate tasks and determine priorities and deadlines
- High degree of judgment, discretion, ethics and professionalism
