**Role & Responsibilities**

We are seeking a dedicated Procurement Representative to join our expanding head office in Belleville, Ontario.

**Here are some of the things you’ll be working on**:

- Prepare procurement documents such as requests for quotations (RFQ’s), purchase orders, and packing lists based on assigned project needs or as directed.
- Summarize quotations and prepare bid analyses for review by Project Managers and Project Engineers. Assist senior personnel (Director Procurement, Project Managers, Project Engineers, Sales/Marketing, Senior Leadership) with customer support.
- Assist the Project Manager and Project Engineer with the creation of the Buy List (B.O.M.) as necessary and actively participate in procurement-led Buy List review meetings at regularly scheduled intervals to review timelines, assess emerging and possible supply risks, and monitor budgets.
- Expedite orders both internally and externally as required to ensure delivery times and project milestone targets are met.
- Receive and review vendor shipping documents, and coordinate deliveries with Shipping & Logistics department to ensure required project deadlines are met; this may include some light shipping and receiving duties.
- Assist Shipping/Logistics with the development of commercial invoices and packing lists as required. Arrange domestic and cross-border deliveries to freight forwarders as needed.
- Receive, record and track office deliveries of project components, and coordinate timely shipment with Logistics to meet project timelines.
- Receive, organize, and circulate technical drawings, quality control documents and manual documents for approval.
- Maintain and organize procurement files (e.g. buy lists), field reports and correspondence for assigned projects.
- Perform all duties in accordance with applicable QMS policies, procedures, and work instructions.
- Demonstrate proficiency with MS Office Suite (particularly Word & Excel), Adobe Acrobat, and other software as required.
- Exhibit good numeracy skills and attention to detail.
- Continue to develop the ability to identify inconsistencies with procurement documents based on historical, project or contextual information and bring them to the attention of senior and project personnel.
- Any other duties assigned by the supervisor.

**Qualifications**
- Diploma in Procurement, Supply Chain, Materials Management, Business, or Accounting/Finance, or equivalent level of combined education and on the job experience.
- 5 years of relevant experience in an administrative role, preferably with direct financial or client-facing responsibilities.
- General knowledge of purchasing protocols and the supply chain cycle (preferred).
- Experience working with Quality Management Systems (QMS), Adept, or another electronic document control repository.
- Proficiency in MS Office Suite (preferably with advanced skills in Word & Excel), with the ability to learn other software programs as required such as Adobe Acrobat.
- Ability to work independently and as part of a team.
