**Role Summary and Purpose**

**Responsibilities**
- Ensure all property services are delivered with the highest level of care, diligence, efficiency, and consistency to ensure the maximum experience for customers. Strive for low/reduced tenant turnover.
- Ensure that all staff are adhering to guidelines and processes as outlined in Standard operating polices and procedures and centralized maintenance calendar
- Perform regular inspections of buildings and grounds, ensuring cleanliness and adequate maintenance to meet/exceed Old Oak’s standards within our portfolio. Follow up as required. Ensuring properties follow proper standards for presentation to customers.
- Work closely with Maintenance and Operations staff to ensure all physical components of sites are maintained to Old Oak’s standards.
- Oversee preparation of verbal and written communications to residents, addressing operational issues, memorandums, and cyclical activities for building maintenance.
- Oversee/Identify any areas of risk exposure and/or liability and take adequate steps to minimize risk.
- Establish, maintain, and promote excellent relations with all internal and external customers, contractors, and trades.
- Oversee annual in-suite maintenance inspections, identifying issues and/or areas of concern, and following up accordingly to ensure the issue is resolved.
- Perform regular inspections of vacant units to ensure cleanliness, required maintenance/repairs completed, etc. to minimize vacancy loss and ensure overall market readiness of units.
- Work closely with the administrative, building management, and maintenance teams to promptly resolve customer-related issues and concerns related to the assigned portfolio.
- Life Safety - Ensure compliance with Fire Safety Plans - confirming daily, weekly, monthly, and annual testing/inspections are being performed and documented accordingly.
- Enforce company and building policies, with respect to execution and delivery of building/grounds services.

**Employee Leadership & Development**
- Work closely with HR and the Director of Property Management to assist in facilitating full-cycle recruitment (screening, interviewing, hiring, onboarding) of new employees.
- Lead, supervise, and support the administrative and building operations teams with a collaborative approach to ensure team cohesion, effectiveness, engagement, and communication.
- Promote success within existing teams by providing continuous training/skill development opportunities and constructive feedback regarding performance.
- Uphold Old Oak’s culture and core values, making continuous efforts to ensure employees feel safe, respected, and heard in the workplace.
- Provide direct supervision, direction, and support to on-site teams to facilitate success.
- Identify growth potential and opportunities for advancement for employees.

**Legal & Administrative**
- Review monthly Accounts Receivable and rent Collection reports, ensuring established procedures are followed.
- Verify and approve invoices, create and validate Purchase Orders (PO’s); work with Accounts Payable to ensure accuracy and compliance.
- Ensure any relevant industry legislation and established corporate and departmental policies/procedures are followed and compliant.
- Oversee preparation of RTA forms (N5, N7, L1, L2, etc.) prepared by Legal Administrator.
- Address pertinent tenant concerns when necessary.
- Attend LTB hearings when required.

**Miscellaneous**
- Contribute recommendations for improvements to Standard Operating procedures, products, procedures, policies, and incentives (for both employees and tenants), and commit to Old Oak’s “Growth” mindset.
- Ensure all Health and Safety policies/procedures are followed and compliant.
- Ensure all company policies are upheld and compliant.
- Other duties as assigned.

**Qualifications, Skills & Requirements**
- Secondary School Diploma required.
- Three (3) years of Property Management experience, with at least two (2) years’ experience in Residential Property Management.
- Demonstrable leadership skills required.
- Exceptional organizational, interpersonal, and communication (both written and oral) skills required.
- Strong attention to detail, critical thinking, and problem-solving skills.
- Ability to comprehend and interpret financial statements.
- Experience with building systems and general maintenance.
- Experience with Yardi Voyager, Rent Café, and/or similar systems preferred.
