**Job Purpose**

As the initial contact point for the organization, this position is responsible for providing a professional, courteous, and efficient service to the residents utilizing the services provided by the Admin Centre for

Sport, Culture, and Recreation. This is a full-time position, Monday to Friday, 8:30am - 4:30pm.

**Primary Duties and Responsibilities**

1. Provide general reception duties for Saskatoon Admin Centre building:

- Daily opening, closing, and lock up of the building
- Maintain reception area to ensure it is always clean and welcoming
- Answer incoming calls and direct inquiries to the appropriate association/individual
- Greet visitors, determine nature and purpose of visit, and direct or escort them to specific destinations; notify association/individual of visitor arrival
- Manage online boardroom bookings
- Prepare boardrooms for meetings including organizing, provisions for a coffee service, setting up telephone for conference calls, boardroom supplies as required, etc.
- Order and maintain inventory of boardroom coffee supplies
- Maintain daily meeting directory boards
- Complete month end summary of all charges for boardrooms, copiers, postage, etc.
- Coordinate/order meals for meetings as required
- Receive and send courier packages
- Sort incoming mail from Canada Post
- Maintain building copiers / printers, and order supplies (change/order toner, paper, etc.)
- Maintain inventory and records of all security access cards, update database and signing out temporary cards for meetings
- Maintain and track inventory of Admin Centre/SSI Laptops/LCD Projectors
- Maintain and order stationary supplies for Sask Sport staff members
- Maintain and track inventory of Sask Lotteries beneficiary materials
- Maintain and track inventory of Lottery Promotional items, including month end records
- Petty cash maintenance
- Order janitorial supplies as required
- Maintain Admin Centre building master key inventory
- Deposits done semi-monthly, or as needed for various divisions
- Other duties as assigned

2. Provide general administrative duties
- Coordination and assistance for various company events
- Data entry, tracking and reporting (i.e., Monitoring of members’ websites and social media)
- Coordination of meetings
- Input data and maintain databases, for various divisions
- Support multi-divisional projects as needed
- Assist departments in becoming paperless
- Create Word, Excel, and mail merge documents
- Other administrative duties as assigned

**Knowledge, Skills, and Abilities**
- Demonstrated knowledge and experience in the following areas: o Previous reception, facilities, and switchboard experience an asset o Knowledge of the provincial sport delivery system an asset o Microsoft 365 - Word, Excel, PowerPoint, and various databases o Adobe Acrobat Pro o Experience in the non-profit sector an asset
- Demonstrated skills in the following areas: o Communication - verbal, written, reception, and interpersonal o Administration, organization, time management and attention to detail
- Demonstrated abilities in the following areas: o Initiative-taking and enthusiastic o Effectively manage a variety of tasks and be able to adapt to unexpected interruptions and adjustments to priorities throughout the day o Work with mínimal supervision and contribute to a team environment

**Qualifications and Experience**
- High school diploma or equivalent education and/or training
- 2 years’ experience in a role that demonstrates the ability to perform the duties required for this position

**Working Conditions**
- Full-time - 37.5 hours per week (8:30am - 4:30pm, 30-minute lunch)
- Physical Environment - normal office environment, occasionally lifting items between 10 - 35lbs
- Overtime work may be necessary during busy periods
