As part of our team, you will play a key role in creating a supportive environment for both our staff and the patients we serve.

**Job Summary**:
The Office Lead is essential to the administration team, managing daily office operations, supervising a team of medical office assistants, and supporting HR functions. This role ensures operational efficiency, aligns office practices with strategic goals, and enhances patient experience by fostering a well-coordinated, friendly, and professional environment.

**Key Responsibilities**:

- **Team Supervision (35%)**:

- Lead and mentor a team of medical office assistants, providing guidance, performance evaluations, and ongoing feedback.
- Set performance goals aligned with PCN standards, coordinate tasks, and foster a collaborative work culture.
- Address team challenges promptly, creating a supportive and productive environment.
- **HR Support & Staff Development (30%)**:

- Oversee onboarding, ensuring new staff understand procedures, protocols, and patient service expectations.
- Manage scheduling, time-off requests, and time tracking, maintaining optimal staffing levels.
- Act as a primary contact for personnel issues, supporting professional growth and staff well-being.
- **Operational Efficiency (20%)**:

- Evaluate and improve administrative processes to streamline patient flow, document management, and inventory tracking.
- Collaborate with clinical staff to balance patient service demands and available resources, ensuring efficient, quality care.
- **Staff Engagement & Retention (15%)**:

- Foster a positive work culture by recognizing team achievements and addressing workload concerns.
- Conduct regular one-on-one check-ins, promote open communication, and support initiatives that enhance staff well-being.

**Qualifications**:

- **Education**:

- Required: Grade 12 or equivalent, with additional study; Diploma in Office Administration, Healthcare Administration, or a related field; a Bachelor’s Degree in Business, HR, or a relevant field is an asset.
- **Experience**:

- Minimum of 2 years in a supervisory or team lead role within a healthcare or administrative setting.
- Experience in HR functions (onboarding, training, scheduling) and proven skills in workflow management.
- Familiarity with healthcare administration and patient services is highly desirable.
- **Skills and Competencies**:

- Strong organizational, communication, and interpersonal skills.
- Ability to implement process improvements, manage team dynamics, and enhance operational efficiency.
- Analytical decision-making skills and the capacity to promote positive change in a team setting.
