Homestay Coordinator

**Major Duties and Responsibilities**:

- Updating the host family and student database
- Running reports and tracking students before, during and after arrival. This also includes coordinating cancellations and extensions and scheduling payments
- Creating student homestay profiles and sending them in a timely manner
- Processing and coordinating airport transfers with providers and 3rd party contractors
- Registering students for VGC’s Residence
- Ensuring consistency and quality in service
- Speaking with students and helping them with homestay issues, counselling and conflict resolution
- Placing students with homestay families and providers
- Doing homestay orientation with new students
- Coordinating with VGC staff in regards to registering students and dealing with any issues that arise
- Speaking with Homestay Families when necessary, collecting complaints and answering questions.
- Answering the emergency phone on weekends and after office answers
- Previous relevant experience in Customer Service Roles, Education Industry, Travel and Tourism, Airport industry.
- Previous experience in an office environment
- Ability and willingness to work outside office hours (evenings and weekends)
- Fluency in English
- Speaking other languages is an assets
- Confident to speak in front of groups of people

- Be proactive in administrative duties, including strong attention to detail and organizational skills

- Is computer savvy and proficient in Microsoft Excel and Microsoft Word

**Other Requirements**:

- Position will require someone willing to follow up on student/host issues outside of work hours or in emergency situations as necessary
