**Job Summary**
**Duties and Responsibilities**
- Manage daily schedules for senior management and other staff members, including scheduling meetings, conferences, and other events
- Prepare and edit documents and reports for senior management
- Respond to inquiries from internal and external contacts
- Maintain filing systems and databases
- Develop and implement processes and procedures to improve administrative operations
- Coordinate travel arrangements and logistics for business trips
- Monitor budgets and expenditures
Responsibilities**:
1. Administrative Support:
- Provide comprehensive administrative support to the managerial team, including managing schedules, coordinating meetings, and handling correspondence.
- Prepare and organize documents, reports, and presentations for internal and external use.
2. Communication Liaison:
- Act as a key point of contact between the managerial team and other departments, ensuring effective communication and information flow.
3. Project Coordination:
- Assist in planning, organizing, and coordinating various projects and initiatives.
- Collaborate with team members to ensure project deadlines are met and objectives are achieved.
4. Data Management:
- Maintain accurate and up-to-date records, databases, and filing systems.
- Assist in data analysis and preparation of relevant reports for management review.
5. Meeting Coordination:
- Schedule, organize, and coordinate meetings, including preparing agendas, recording minutes, and ensuring follow-up on action items.
- Arrange travel logistics for management when necessary.
6. Problem-Solving:
- Anticipate and address potential challenges or issues before they arise.
- Collaborate with the managerial team to find effective solutions to problems.
**Requirements and Qualifications**
- Fluent in spanish and english
- Bachelor’s degree in business administration or related field
- At least 2 years of experience in an administrative role
- Excellent organizational and time management skills
- Proficient in Microsoft (MS) Office Suite
- Strong written and verbal communication skills
- Able to work independently with mínimal supervision
- Able to prioritize tasks and manage multiple projects simultaneously
**Qualifications**:
- Bachelor's degree in Business Administration, Management, or a related field preferred.
- Proven experience as an administrative or executive assistant.
- Exceptional organizational and time management skills.
- Strong written and verbal communication abilities.
