Our office provides a personalized service for clients seeking notary services related to real estate transactions and document notarization. We are a professionally engaging, reputable, young, and growing notary office that encourages our team in continuous development and professionalism.
- **Key Responsibilities**:_
**Administrative Duties**:
- Schedule appointments and maintain the office calendar efficiently.
- Organize and maintain files, records, and documentation with utmost accuracy.
- Assist in preparing and reviewing legal documents, forms, and certificates as required.
- Handle billing and invoicing tasks promptly and accurately.
- Additional banking tasks involved in real estate files.
**Customer Service Excellence**:
- Greet clients warmly and assist them with inquiries or concerns in a professional manner.
- Provide guidance and information regarding notary services, procedures, and requirements.
- Ensure client satisfaction by addressing their needs promptly and effectively.
- Handle client feedback and complaints with empathy and a problem-solving attitude.
**Office Operations**:
- Maintain office supplies inventory and ensure adequate stock levels.
- Coordinate with external vendors and service providers as needed.
- Assist in the maintenance of office equipment and facilities.
- Uphold confidentiality and security standards in handling sensitive information.

- **Qualifications**:_
- Bachelor's Degree and/or a Master's of Arts in Legal Studies
- Legal background in real estate and conveyance considered is highly preferred.
- Previous experience in a customer service or administrative role is preferred but not required.
- Familiarity with legal terminology and notary procedures is an advantage.
- Knowledge in Pro Suite, Appara, LTSA, Quickbooks considered assets.
- Proficiency in MS Office Suite (Word, Excel, Outlook) and basic computer skills.
