The Team and Job Summary

We are seeking an Administrative Analyst to join our Forensic Architecture and Engineering team. This is a unique opportunity for an entrepreneurial, highly driven person with a well-rounded skill set to join the Forensic Architecture & Engineering team, whose responsibilities extend beyond those of traditional Admin Analyst. The ideal person for this role will need to not only have a strong grasp of Administrative responsibilities but also be flexible and a strategic thinker able to take on a variety of tasks.

Job Responsibilities

Administrative Support for Forensic Architecture & Engineering Staff
- Assist with new project set up, including determination if initial information is sufficient and contacting clients to obtain needed information.
- Monitor and maintain project/assignment information in various computing systems - including follow up with staff to obtain missing and needed information.
- Assist with project appointment scheduling such as site visits or depositions.
- Assist with project file organization.
- Assist with project file production for subpoenas.
- Supporting special projects.
- Provide general administrative support as needed.
- Work hours during Pacific Time Zone business hours.
- Collaborate with colleagues providing the same functions in differing time zones.

Required Qualifications
- Previous experience in an administrative role; including data entry and data management.
- Previous experience within the insurance services and/or legal services industries.
- Ability to prioritize and/or multitask as needed.
- Ability to work in a fast-paced work environment.
- Excellent time management skills.
- Excellent written and verbal communication skills.
- Strong attention to detail.
- Strong organizational skills.
- Team player - must work well with others, as part of a team
- Microsoft Office required. Must be Excel, Word, Outlook, etc. proficient and have the ability to embrace new technology.
- Demonstrable job stability.
- Works either in J.S. Held office, or if remote, must have adequate home office setup.
- **Ability to work Pacific Standard Time hours (8:00am-5:00pm (PST)).
Preferred Qualifications
- College Degree preferred.

Physical and Mental Job Qualifications
- Prolonged periods of sitting at a desk and working on a computer.
