Receptionist/accounts Payable Coordinator

**Job Overview**
Bayview Flowers, a leading family-run organization in the floral industry, is seeking a Receptionist/Accounts Payable Coordinator to join our team. As the receptionist/accounts payable, you will greet Bayview Flowers customers in person and by phone; manage accounts payable process for Bayview Flowers, Logistics, and Greenhouses ensuring invoices get paid in a timely manner and perform any other accounts payable and reception duties.
**Responsibilities**
- Greet Bayview Flowers customers in person and by phone and direct them to the appropriate person
- Process incoming and outgoing mail.
- Responsible for making trips to the post office regularly.
- Schedule, create shipments and ship packages via courier service
- Maintain inventory for office supplies.
- Assisting other departments with supply purchases
- Manage day-to-day accounts payable processes, including receiving, reviewing, and processing vendor invoices.
- Reconcile credit card statements with receipts and record transactions in MS Excel
- Match proof of deliveries to invoices
- Verify invoices against purchase orders and ensure goods were received before issuing payment.
- Ensure all paperwork is included with Logistics freight invoices.
- Manage Logistics truck summary in MS Excel by entering shipments and recording invoice information on a weekly basis.
- Prepare wire transfer templates for approval by calculating deposits and balances.
- Prepare and perform weekly cheque run for invoices due and prepare for mailing.
- Maintain filing of any accounts payable related documents
- Investigate any AP related discrepancies and communicate with vendors to resolve any issues.
- Review monthly vendor statements to ensure all invoices are located in the system
- Manage tracking of invoices and payments, ensuring they are paid in a timely manner.
**Qualifications**
- Accounting background and experience is required.
- Strong computer skills, ability to learn new software, manage multiple databases including MS office suite
- Must be comfortable working with mailing machine, photocopier, fax machine, and managing a 4-line phone system.
- Excellent attention to detail.
- Great communication, organization, and interpersonal skills with the ability to collaborate and communicate with different departments.
**Other Requirements**
- Be willing to learn other Bayview administration tasks and act as back up
- Be willing to support others or tasks if required
**Job Types**: Full-time, Permanent
Pay: $23.00-$24.00 per hour
Expected hours: 40 per week
