The Office of Institutional Research and Analysis provides leadership, advice and support for planning, policy formation and informed decision-making activities at McMaster University. To fulfill its mission and support the strategic goals of McMaster University, the office provides accurate, timely and high-quality information, data analysis and analytics to the university’s various academic and administrative offices and responds to data requests from external agencies. It supports, advises, and enables senior administration planning and decision making through the provision of performance metrics, benchmarks, projections, simulations, modelling, and effective analyses and insights based on a thorough understanding of McMaster and its external environment. Employees within Institutional Research and Analysis serve as the liaison with government, the U15 Data Exchange, Council of Ontario Universities, and other external agencies on institutional data and research activities.

JOB SUMMARY:
The Junior BI Specialist is responsible for working with IRA staff on front-end development, documentation of work and the development and execution of training plans and materials. The incumbent understands data needs and transform data into information for business needs through the deliverables. A primary responsibility of the Junior BI Specialist is to be responsible for coordination and maintenance of project documentation including following up with team members to ensure all procedures and changes are documented and where required assist with the writing and compilation of the functional and technical details for each deliverable. This role is also responsible for promotion, coordination and delivery of training sessions and the development and maintenance of all training materials, including communication, training need and quality assessments, planning and delivery. In order to effectively carry out the responsibilities related to training and documentation it is expect that the Junior BI Specialist will play an active role in front-end development of projects.

ACCOUNTABILITIES:

- Prepare reports for internal sources to help faculties, departments, and committees in decision making using OBIEE, Microsoft Power BI, or Blue by Explorance.
- Identify, develop, and maintain effective working relationships between the IRA team and various campus partners and assist in the development of the dashboards to meet user needs across the university. Work collaboratively with data stewards and other implementation group members to develop appropriate glossaries and definitions of terms used in dashboards.
- Work closely with the IRA team members to ensure documentation, upgrade or change in the system is documented, and each set of documentation is comprehensive and complete. Follow up with individual team members where gaps exist to obtain relevant information including screenshots of procedures, data schemas and other details and to assist with completing the documentation as required in a timely manner.
- Write a variety of documents such as correspondence, procedure manuals, reports, FAQs and minutes.
- Plan, promote, coordinate and administer various training programs, workshops and events in consultation with the Team. Develop, implement and assess training materials including video clips, guidebooks, manuals, etc. Develop and deliver presentations, workshops and training modules to users across the university on request and/or as necessary.
- Knowledge of programming and querying.
- Research trends, issues and best practices in training and development; continuously conduct regular reviews, gather feedback and provide recommendations for updates. Assist with the assessment of all training and development strategies and initiatives.
- Handle sensitive material in accordance with established policies.
- Review and cross-examine all documentation for congruence and consistency across the program and make ongoing revisions and updates as each project evolve or change.
- Promote and popularize the use of analytics across the University and demonstrate its benefits and effectiveness to new and potential users.

KNOWLEDGE/SKILLS:

- Relevant experience with business intelligence and analytics, training, communication and writing would be preferred.
- Prior experience in Oracle BI Applications or Microsoft Power BI
- Some knowledge of technical writing
- Excellent written and spoken communication skills in English.
- Excellent Team player.
- Excellent interpersonal, facilitation, negotiation, issue or conflict identification and resolution skills with strong skills in building strong, collaborative partnerships with stakeholders.
