Executive Assistant to the Board

Position Highlights

We are seeking a dedicated and experienced Executive Assistant to the Board to join our Corporate Secretary’s Office team at

Head Office in North Vancouver.

In this role, you will provide stellar administrative coordination and support to the Board of Directors and the Corporate

Secretary’s Office. You will be expected to anticipate the needs of those you support, and take independent action on and

perform a broad range of administrative tasks with mínimal direction. You will also be expected to communicate with a high

degree of professionalism, tact and confidentiality, as you will act as the internal and external liaison for the Board of Directors,

including with ministerial and government offices. You will work very closely with the Executive Office team, and work

collaboratively with other Executive Assistants on various projects and initiatives that will contribute to ICBC’s purpose to “move

all forward”.

What will you do most of the time?
- Provide stellar administrative support to the Board of Directors and the Corporate Secretary’s Office which includes:

- Calendar management
- Meeting management
- Technology support
- Travel arrangements
- Invoice and expense statement preparation
- Correspondence with internal and external stakeholders on behalf of the Board of Directors
- Understand the goals and priorities of the Corporation, and make decisions that maximize the efficiency of the Board of

Directors and the Corporate Secretary’s Office, which involves anticipating the needs of the Board of Directors and the

Corporate Secretary’s Office and taking independent action
- Coordinate and provide support for Board and Committee meetings and other events/projects as directed, which includes

dispatching meeting invitations, developing agendas, booking meeting space, arranging for resources and other requirements,

and other activities in support of smooth and efficient meeting facilitations
- Coordinate and support development of Board and Committee materials, ensuring they follow the appropriate guidelines and

are received within communicated timelines, which will sometimes involve undertaking research and drafting materials as

directed
- Identify opportunities for improvement in Board processes and support implementation of continuous improvement,

championing sound governance principles and practices
- Administer the onboarding program and offboarding process for Board members, partnering with teams across the Corporation

to ensure a positive experience for the Board members
- Maintain corporate and Board records, maintaining strict confidentiality and responding to requests for records appropriately
- Coordinate the budgeting and financial reporting process, also ensuring appropriateness of all expenditures
- Work with a team of other Executive Assistants to provide seamless support

Position Requirements

The skills and attributes required to successfully fulfill these responsibilities include:

- Extensive knowledge of administrative procedures and practices, especially as they relate to supporting for boards of directors
- Minimum five to seven years of experience supporting board of directors or executives within a large, complex organization is

preferred

- Advanced proficiency of MS Office (Word, PowerPoint, and Excel) and videoconferencing technologies, as well as familiarity

with board portals

- Experience preparing board or executive agendas, documents and presentations
- Ability to maintain confidentiality and be tactful at all times
- Understanding of project management principles is preferred
